A new option to access SharePoint Agents is coming, the Agent Link Web Part. It will allow you to provide direct access to certain agents from pages, so that site users can have a seamless experience of getting to the relevant agent for the content they are accessing. As our stables of agents and other AI-powered tools grow, surfacing the right ones in the right context becomes the pressing challenge. This gives those building SharePoint sites that are focused on more than just building a document repository the tools to do just that. Imagine your HR SharePoint site that has been diligently crafted to be an easy access point to your company's information; you will be able to add curated access to agents to that tailored UX so that Policy Agent and Career Development Agent pop up in the right places. One missing feature here so far is that this is focused on SharePoint agents. I hope that this can expand so that any agent can be shared this way and used contextually within SharePoint. I could even imagine a scenario where this feature could be used to connect individual agents to their specific training resources to allow businesses to build their own catalog of agents with connected learning content. 🚀 Building Scalable Solutions in Dynamics 365 & Power Apps — My Go-To Approach Over the years, I’ve seen teams build amazing solutions... …but I’ve also seen them collapse under scale because of one thing — they weren’t built to grow. Here’s my 5-step blueprint for creating solutions that last and scale effortlessly: ✅ 1. Start with Modular Design Don’t dump all entities, flows, and logic into one solution. Use solution layering & logical grouping (Managed + Unmanaged) for easier maintenance. ✅ 2. Optimize Data Model from Day 1 🔹 Choose between custom tables & out-of-the-box entities wisely 🔹 Minimize unnecessary relationships — they hurt performance at scale ✅ 3. Keep Automations Lean For complex processes, Azure Functions or Logic Apps scale better than piling up Power Automate flows. ✅ 4. Version Control Your Configurations Yes, you can! For the first time ever, I used M365 Copilot more last week than I did ChatGPT. I bought M365 Copilot when it came out and was not impressed. GPT5+M365 Copilot has changed that. I’m pleasantly surprised by how much better M365 Copilot is when you turn on GPT5. Case in point, I had 90 minute requirements discovery meeting with a client. Typically you have to spend significant time going through the recording and notes to fill out a requirements document, note what didn’t get captured, and log follow-up actions. This time, I gave the requirements document to M365 Copilot and had it analyze the meeting and fill out the requirements document for me. I also had it do the gap analysis and follow-ups. About 90 seconds later, it was done. Was it perfect? No. Did it save me hours? Absolutely! The doc cleanup took about 10 minutes. I found it doesn’t handle tables well but it was a huge timesaver. I’ll be writing up document format recommendations for what works best with Copilot for these actions. Copilot still has things I’d like changed like multiple attachment support and multimedia attachment support, like ChatGPT. Even so, it’s more powerful than ever with GPT5 mode on. If you have it and stopped using it, give it another try with the GPT5 button in the upper right of the screen clicked.

I know so many M365 experts who deep dive into SharePoint, PowerPlatform, Teams, Copilot, and Entra. They release all of this content on bleeding edge changes from Microsoft, and it is a lot to digest. Many clients aren't ready for these advances, and I worry in general for small businesses who won't be able to keep pace with bigger businesses that can afford the investment. Mostly I worry when they don't invest in security around their mail and identity. To build a business over 20 years and lose it because someone left the doors wide open from not doing something free like MFA just kills me. I'm not a sales guy, but I don't want them to get mugged before they decide to get protection. How do you convince them to spend another $10-15/user/month to get licenses for the tools? They see AI or app development on PowerPlatform as increasing efficiency and saving them money while security is just another cost.

Cleaning up the Microsoft 365 mess nobody wants to talk about. Most Microsoft 365 environments don’t have a technology problem. They have a discipline problem. Too many tenants are a graveyard of: Orphaned Teams nobody owns SharePoint sites created “just in case” Files duplicated across OneDrive, Teams, email and desktops Permissions granted once… and never reviewed again And yet we keep piling on more tools, more features, more AI… without fixing the foundations. Here’s the uncomfortable truth: 👉 AI doesn’t clean up your mess. It amplifies it. Copilot is brilliant — but if your data is scattered, overshared, poorly named and unmanaged, Copilot will happily surface that chaos at speed and scale. That’s why “we’ll tidy it up later” is no longer an option. Effective Microsoft 365 isn’t about turning everything on. It’s about: Clear ownership (who is responsible for this Team, that site?) Guardrails instead of free‑for‑all creation Regular reviews, not once‑off “projects” Deleting ruthlessly, not hoarding digitally This is the work nobody wants to sell and nobody wants to do… but it’s the work that makes everything else actually function. If you’re an MSP, this is a massive opportunity. Not another shiny add‑on — but real, high‑value guidance that: Reduces client risk Improves security outcomes Makes Copilot genuinely useful instead of dangerous If you’re an IT pro or business owner, ask yourself one hard question: Would I trust an AI assistant with all the data in my tenant today? If the answer is “not really”, that’s your starting point. Clean up first. Then automate. Then amplify. OneDrive or SharePoint? We get this question constantly from schools, small businesses, and care providers: "Where should I save this file?" It feels like a small decision, but we've seen the real consequences when important documents disappear because they were stored in the wrong place. When that key teacher retires, the dedicated office manager moves on, or your longtime care coordinator leaves – do their important files go with them? Often, yes. And that's when you realise critical student records, client contracts, or patient protocols were saved in their personal OneDrive. Here's how to think about it: 📁 OneDrive = Personal workspace Tied to individual accounts (when they leave, files can disappear) Perfect for: Personal notes, rough drafts, individual project work Think: "Is this something only I need right now?" 📁 SharePoint = Collaboration Built for teams and long-term access Essential for: Student files, client records, patient documentation, policies, templates, training materials, compliance documents Think: "Will someone else need this if I'm not here?" Real examples from your world: Schools: Student IEPs, curriculum guides, emergency procedures → SharePoint Small businesses: Client contracts, pricing sheets, SOPs, vendor agreements → SharePoint Care providers: Patient protocols, compliance documentation, staff training materials → SharePoint If losing access to a file would disrupt student learning, client service, or patient care – it belongs in SharePoint. Microsoft just made SharePoint automation so easy that your governance team should probably be nervous. SharePoint's February update puts workflows, approvals, and automation directly in your document libraries. No Power Automate required for basic scenarios. Everyone's celebrating "easier automation." I'm asking a different question: Who's going to manage the chaos when every department starts building their own workflows? Here's what's actually rolling out: 1️⃣ Workflows embedded in libraries and lists No more context switching to Power Automate. "Mad-Lib style" builders pre-fill your sites and lists automatically. Sounds great until you realize it exposes every inconsistency in your naming conventions and taxonomy. 2️⃣ Quick Steps for bulk actions Custom action buttons right in your grid view. No code required. Which means every power user can now deploy automation without IT oversight. That's either democratization or sprawl, depending on your governance. 3️⃣ One-click approvals with default reviewers Enable approvals with a single toggle. But here's what nobody's asking: How do you audit 47 different approval patterns scattered across your tenant? Who owns the lifecycle when that approver leaves the company? 4️⃣ Forms that collect files directly into libraries Great for structured intake. Terrible if your metadata schema isn't consistent. You're just automating garbage collection into the wrong folders. When you lower the technical barrier to automation, you're not just reducing friction. ➡️ You're redistributing architectural control to people who don't know what information architecture even means.
