This is not a traditional Executive Assistant role.

As the CEO's trusted partner, you will help create leverage across the business by managing priorities, coordinating strategic initiatives, preparing executive communications, and ensuring critical projects and commitments move forward.

Success in this role requires someone who is proactive, highly organized, and naturally anticipates what's needed next. You don't wait for direction, you identify opportunities to improve efficiency, solve problems before they arise, and create the structure that allows the CEO to focus on leading and growing the business.

What You'll Do

Executive Calendar & Time Management

  • Own and proactively manage the CEO's calendar and priorities.
  • Coordinate meetings, travel, and scheduling logistics.
  • Optimize the CEO's time by balancing strategic meetings with focused work time.
  • Anticipate scheduling conflicts and resolve them proactively.

Executive Communications

  • Manage and prioritize incoming communications.
  • Draft professional emails, presentations, and executive correspondence.
  • Coordinate internal and external communications on behalf of the CEO.
  • Ensure timely follow-up on important requests and commitments.

Meeting & Project Coordination

  • Prepare agendas, briefing materials, and supporting documentation for meetings.
  • Attend meetings as needed to capture notes, key decisions, and action items.
  • Track deliverables and follow up with stakeholders to ensure commitments are completed.
  • Support the execution of strategic initiatives and cross-functional projects.

Travel & Event Planning

  • Coordinate domestic and international travel arrangements.
  • Prepare detailed travel itineraries.
  • Manage accommodations, transportation, and meeting logistics.
  • Handle schedule changes efficiently while minimizing disruption.

Executive Operations

  • Coordinate recurring executive activities, including leadership meetings, planning sessions, and board preparation.
  • Maintain organized executive files and documentation.
  • Support the preparation of presentations, reports, and executive materials.
  • Help improve executive processes and workflows to increase efficiency.

Relationship Management

  • Coordinate communications and meetings with board members, investors, clients, partners, and senior leadership.
  • Help maintain strong executive relationships through thoughtful follow-up and scheduling.
  • Serve as a professional point of contact for internal and external stakeholders.

What We're Looking For

  • 5+ years of experience supporting senior executives, founders, or C-suite leaders.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Excellent judgment and problem-solving skills.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • High level of professionalism, discretion, and integrity.
  • Strong project coordination and follow-through skills.
  • Proficiency with Microsoft Office, Google Workspace, and modern productivity tools.
  • Experience supporting executives in a dynamic, high-growth environment is a plus.
