Every morning, without fail, I dedicate 10 minutes to setting up my day.  This routine has been my anchor for over 10 years, transforming what used to be an hour-long chore into a quick, impactful ritual. Here's my stripped-down process: - First, I glance at my automated reminders I built over the years. They keep me aware of my must-dos. - Next, I review my calendar, pinpointing meetings and scribbling down key points for each. This ensures I'm never caught off guard. - Finally, I jot down three critical tasks outside my scheduled events. These are my non-negotiables for the day, ensuring I focus on what truly matters. Over a decade into this practice, it's become second nature. I step out the door, not just prepared but energized, ready to take on whatever the day throws at me.  It's not about filling every minute of your day; it's about prioritizing smartly to tackle it with confidence.     Ever felt the confusion of a never-ending to-do list?? Feeling overwhelmed by tasks can paralyze progress - I know, because it used to happen to me on a regular basis. The result was a not-so-fun cycle of stress and inefficiency. What saved me from the endless loop of writing everything down I 'wanted' to get done? Embracing the 1-3-5 Rule. Before the 1-3-5 Rule I'd literally write everything I wanted to get done for the day and just march down the list. There was very little rhyme or reason. So what's the 1-3-5 Rule? 1️⃣ Major Task – the one task that absolutely needs your full attention and will have the biggest impact. 3️⃣ Medium Tasks – still important, but not quite as heavy-lifting as the major one. 5️⃣ Small Tasks – quick, easy wins that keep you moving forward without sapping your energy. Here's why it works: It Prevents Overwhelm: By focusing on just a handful of priorities, you avoid feeling buried under a mountain of tasks. Focus on Quality: Your biggest task gets the attention it deserves, rather than being rushed or skipped. Builds Momentum: Tackling five small tasks keeps morale high—who doesn’t love ticking items off a list? Boosts Productivity: A realistic daily plan means fewer distractions and more meaningful progress. Make sense? Now you try it: 1. Brain Dump Your Tasks: At the start of the week (or day), jot down every task swirling in your head. No filter—just write. 2. Categorize by Priority: Sort them into major, medium, or small based on impact and complexity. 3. Create Your 1-3-5 List: Choose one major, three medium, and five small tasks to tackle. 4. Start with the Biggest Task: Dedicate your prime morning hours to your major task. Minimize distractions by turning off notifications or skipping non-essential chit-chat. 5. Use the Pomodoro Technique: Work in focused sprints (25 minutes on, 5 minutes off) to keep your energy and focus sharp. I bought a timer on amazon to help with this and it has been super helpful. Laser-focus on one task at a time.  Make juggling history. 6. 𝗖𝗿𝗲𝗮𝘁𝗲 𝗮𝗻 '𝗲𝗳𝗳𝗶𝗰𝗶𝗲𝗻𝗰𝘆-𝗳𝗶𝗿𝘀𝘁' 𝘄𝗼𝗿𝗸𝘀𝗽𝗮𝗰𝗲. Enable deep work.  Disconnect from distractions. 7. 𝗧𝗼𝗼𝗹𝘀 & 𝘁𝗲𝗺𝗽𝗹𝗮𝘁𝗲𝘀. Automate... Streamline... Use templates... Conserve time and mental bandwidth. 8. 𝗘𝗺𝗯𝗿𝗮𝗰𝗲 𝘄𝗲𝗲𝗸𝗹𝘆 𝗿𝗲𝗳𝗹𝗲𝗰𝘁𝗶𝗼𝗻 𝗮𝗻𝗱 𝗽𝗹𝗮𝗻𝗻𝗶𝗻𝗴. Revisit your priorities... Track your progress... Plan for the future...  Recalibrate... 9.     Stop multitasking. Start using this strategy instead. I used to drown in meetings, follow-ups, and a to-do list that never quit. Sound familiar? I’ve been there. Overwhelmed, always playing catch-up, and not able to ever switch off. Not to mention anxiety through the roof. Something had to change. I know how it feels. You wake up every day with a mission: → grow that pipeline → book those meetings → close the deals And every single day, it feels like you’re starting from zero. The grind is real. I knew I needed a new game plan.  So I found it: Structured Day Segmentation. Here’s how it works: 1. Assess your day → Track your time for a week. → Get real about where your time goes and what drains your energy. 2. Break it down: → Organize your day into power blocks: - 8:00 AM - 11:00 AM: Attack high-priority tasks -11:00 AM - 1:00 PM: Handle meetings and calls -1:00 PM - 3:00 PM: Crush admin and routine work -3:00 PM - 5:00 PM: Wrap- with follow-ups and prep for tomorrow → Take a 10-minute break every 90 minutes to recharge. 3. Make it happen: → Block out these periods in your calendar. → Let your team know your new game plan so they don’t interrupt your focus. 4. Fine-tune: → After 2 weeks, see what’s working and adjust. → Keep evolving. 5. Reflect: → Weekly, assess your productivity and energy. → Make changes as needed. Here’s the truth: You don’t need to be overwhelmed and stressed. You need to take control, prioritize what matters, and delegate what doesn’t. Structured Day Segmentation allows you to be more productive, doing less, and feeling great about it.     This 15-minute morning routine supercharged my productivity.  Every day, I spend 15 minutes doing a "brain dump" before checking my devices. I write about my internal triggers, frustrations, and worries.  This simple act helps prevent these thoughts from hijacking my attention later. Here's how to make it work: 1. Schedule it: Use a timeboxed calendar to allocate 15 minutes each morning.  2. Minimize distractions: Do this before checking your phone or computer. If needed, use apps to block distracting feeds and websites. 3. Write freely: Explore negative feelings with curiosity, not contempt. What's bothering you? What's on your mind? 4. Identify actionable items: What problems are under your control? What can you do about them? 5. Let go: Acknowledge the things you can't change. This practice helps you form an action plan for the day ahead, focusing on what truly matters. Try it tomorrow morning. You might be surprised at how much clearer and more focused your day becomes.     Busy all day but very little to show for it? You might be making the same mistake I was. Looking back, I remember the time when... I started my days with the feeling the dread at addressing a long to-do list that seems never ending Emails. Meetings. Urgent tasks. Not to forget the guilt over indulgences on distractions And, at the end of the day, I felt tired but was left with the question... "𝗪𝗵𝗮𝘁 𝗱𝗶𝗱 𝗜 𝗮𝗰𝘁𝘂𝗮𝗹𝗹𝘆 𝗮𝗰𝗰𝗼𝗺𝗽𝗹𝗶𝘀𝗵 𝘁𝗼𝗱𝗮𝘆?" I had to change. It was frustrating. It was not sustainable. Finally, I found the answer on a random YouTube video. 𝗜 𝗔𝘂𝗱𝗶𝘁𝗲𝗱 𝗠𝘆 𝗧𝗶𝗺𝗲. The process was simple. → 𝗦𝘁𝗮𝗿𝘁 𝗦𝗶𝗺𝗽𝗹𝗲: Just a notepad and a timer. → 𝗥𝗲𝗰𝗼𝗿𝗱 𝗘𝘃𝗲𝗿𝘆𝘁𝗵𝗶𝗻𝗴: Every task, every distraction. → 𝗖𝗮𝘁𝗲𝗴𝗼𝗿𝗶𝘇𝗲 𝗲𝗮𝗰𝗵 𝗲𝗻𝘁𝗿𝘆: Urgent / Important / Neither. It gave me some eye-opening insights. ❌ No personal or family time. ❌ Excessive time lost to distractions ❌ Prioritizing urgency over importance. ❌ Prime energy time wasted on low-impact tasks So, I made some changes. I decided to... 👉 Embrace mono-tasking 👉 Identify my focus and priorities 👉 Use a calendar as my daily to-do list. 👉 Schedule times for breaks and deep work. 👉 Carve out intentional time for health and family. 👉 Arrange meetings during my low-energy periods 👉 Tackle important tasks during high-energy periods Results? Remarkable. ✅ More done with less stress. ✅ Days end with clear, solid wins. ✅ More visibility into things that truly matter So, how can you transform your day? →  𝗧𝗿𝗮𝗰𝗸: One week.
