Identify if you need to organize by calendar year or fiscal year, use clear and obvious searchable terms in a consistent naming convention so you can find what you’re looking for, and try not to get down the rabbit hole of “too many subfolders”. Try a rule like Rule of 5 or Rule of 7: if you can’t get to the item you’re looking for through X number of subfolders, then it’s too many.

Here are some practices I adopt and recommend: ✅ Smart folder hierarchy: I structure files by key areas and subcategories, making navigation and retrieval easier. ✅ Consistent naming conventions: I use standardized naming methods that allow quick identification of file contents without opening them. ✅ Chronological order for recurring topics: Sorting files by date helps track the progression of a topic or project. ✅ Adaptable organization methods: Besides chronological order, classification methods such as alphabetical, numerical, geographical, ideographic, and thematic organization can be explored depending on the need. ✅ Regular reviews: I schedule periodic cleanups, archiving, and updates to avoid unnecessary file accumulation.

Often times you can find software designed for managing particular types of documents whether they are calibration, maintenance, and validation records, or clinical trial documentation. Often these are easier to use and make documents easier to find than a simple file structure. These work well especially if you have supporting standard operating procedures that spell out how documents are managed throughout their useful life. Another big issue is sorting out the useful life of documents. Not all documents need to live forever. Get rid of documents that have passed their useful life, based on your standard operating procedures. That's what I have tried, but I still cheat and use my desktop now and then!
