How can you stay on track during a presentation when audience questions arise?

For me, I need to be hands on about my topic if I am presenting. If I am not, then I need to be sacred about a relevant question . So everyone needs to be fully prepared before presenting any topic. If the question is off topic, you have all the right to say ‘in the interest of time, let’s discuss any off topic queries after the presentation ‘

Things which worked for me are - Before starting of presentation, I make sure to interact with my audience and put ice breaking questions to check the thought process - Prior to presentation day, i put myself in audience shoes and then start thinking what they will get out of it? What can be sort of question or breaking points etccc

I usually take the following approach - 1. While stating the agenda for the presentation, I tell them there is a designated QnA session in the end 2. If questions come in the middle, I usually take 1-2 questions and keep the rest for the QnA session in the end 3. I also inform the audience that I don't mind etending my time if they have relevant questions :)

I actually like my presentations to be interactive. So planning the entire timing of the presentation and providing a moment for the audience to ask questions once you complete a slide or couple actually helps. Instead of allocating 15 mins in the end, have 2-3 mins allocated in the middle itself. this will keep the audience interested and also allow the audience to feel a part. Generally, if the presentation is for 1 hr plus and has multiple topics, the audience will lose interest and may forget to ask questions which might be a negative. Also if it's completely irrelevant, you can always park the question for the end allocated time & note it down.

KNOW THE " WIIFM" ASPECT: The vital steps before any presentation or event is to : 1) Try to get all the profiles of the attendees & expect relevant questions on possible painpoints they may be facing. Guesswork! 2) Determine " What is in it for me" for the audience" perspective aligned with the attendees profiles. 3) Any challenging questions or doubts raised, you can always throw the same question to others in the audience for their views 4) Commit get back to the challenger that you will revert back via the organiser.

When you design your presentation, proactively incorporate breaks for questions, and at the start of your presentation—when you set the ground rules—let your participants know you will take questions throughout your presentation. The perfect point to stop and check for questions or to pose your own question to check for understanding is after you present a concept but before transitioning to your next thought. This way, you are not caught off-guard by random queries and can remain focused because you know you’ve built-in dedicated time to respond to questions, the audience does not get frustrated with having to wait until the end to get answers to their questions, and you can expertly answer questions in context. It’s a win-win-win!

Disclose the Agenda on the presentation, set the terms of the interaction. I would generally request the audience to allow the contents, especially for a particular section to complete , and hear in full, so that the flow is explained. Then invite for queries and clarification. If the question at the end of section is related to a different topic, covered later, will inform that he will get the answers when the relevant section is presented. If fully irrelevant and not in the topic, I shall inform so and provide time seperately, if it's still in my area of expertise, but on a one on one. Note that if we do not plan, practice and stick to the agenda, we will not give enough time to the punch lines, so it's important to be in control.

1) Highlight the Q& A session "slot" in the Agenda to align the audience. 2) Even mentioing a contact id for further questions well in advance in the Agenda will do lots of good

Every successful presentation is a two-way conversation, and one of the keys to making it run smoothly is to establish clear ground rules from the start. At the outset of your presentation, it's crucial to let your audience know how and when you will be addressing their questions and comments.

One thing I do, at the very beginning of my presentation is, ask their expectations around the topic, specific challenges they face, past experiences and any questions they might have and make a note on a board for them to see. Then carry on with the set presentation, when a point is raised from the list we answer it. If the audience has any questions related to topic we cater to it, if not, write it on the board. This way we are not track and the audience is interactive and intrigued by the questions on the board.

Acknowledgement is a good thing. If your audience ask you a related question then you must acknowledge that one. You show your respect within it. Remember one thing, if questions not arrive towards your content then you will not improve or succeed in it. So always respect others questions like feedbacks.

It is always better to clarify the scope of topics around which a question will be addressed. At times the audience does not get the flow of the topic and ask questions out of the blue. It is better to clarify that the question does not relate to the topic and though it is good but due to time constraints can't be addressed now.

Prioritize Questions: Explain how you'll prioritize questions if you have limited time. You can mention that questions relevant to the current section will receive priority, and others will be tackled if time permits. Encourage Clarity: Encourage your audience to ask questions that are clear and to the point. This ensures you can provide meaningful answers and maintain a smooth flow of the presentation.

1) Acknowledging every audience question with a remark "That's a great question or That's an insightful question" will make the questioner belonging & important . 2) If the question is relevant to the topic, the presenter can address & answer it with data. 3) If the question is irrelevant then politely the presenter can call it out with this remark "slightly tangent to the agenda but I will try to address it". 4) The presenter can also throw the question or doubt to the table around & also seek others to try to answer the same. This is another gesture that will make the other participants to collaborate & be inclusive

Your approach to handling questions should be on engagement, empowerment, and respect. However, it's also worth considering the question as an "improv moment," which shows your authenticity. If a question is too complex or unclear, you can replay it in your mind briefly and decide if it adds value to the presentation's objective. If it does, address it succinctly. If it doesn't, defer it, but assure the audience that you'll revisit it, later on, so you don't derail from the topic you're presently discussing. I like the "Soundbite" Rule: Keep your answer as succinct as a memorable line from a movie or a highlight reel from a game. This ensures that you don't veer off track and keeps the focus on the overarching presentation objectives.

I would repeat or rephrase the question, depending on the size of the audience. Repeating the question is great for larger groups; however, it can seem out of place for a smaller audience (ie. boardroom). In which case, rephrasing the question thoughtfully can show that you clearly understand the question asked. This also allows space for the audience to clarify, if your interpretation doesn't match what they were trying to ask. Pro Tip: thank them for asking a question. Speaking in public is difficult for a lot of people and voicing when you don't know something can be equally difficult. Always thank them and ask if your response helped answer their question.

If there is a large audience then it is better to repeat the question. This also helps all audiences to relate with the discussion.

1)You can repeat the question & your answer made, summarize what the audience should have learned and explain how the new information from the Question & the answer can help the audience in the future 2) In addition to repeating and summarizing the answers to the questions, you can also update the Q & A in a separate as part of your presentation & keep updating it on the go. This will help to make your deck complete & also help you for the subsequent presentation. 3) If you (the presenter) has not intended to distribute your deck , you can ask the audience to take a snapshot for audiences' benefit.

The best way to build rapport with your audience is to repeat what they say. This makes people feel heard and it lets them know that you are listening. If you would love to take this to another level. Listen for the sense that's being communicated. eg. If someone says something using a word related to visual you repeat by saying; "It looks like you are...." If someone is using more feelings or emotional words you can repeat by saying; "It feels like......" Our sense creates our subjective reality and when you communicate using the same modality a person use you become even more connected to them.

Sometimes it's useful, at the end of a presentation, to summarize some topics. This is 100% safe for avoiding misunderstanding and to keep your audience alive and participative.

1) It is imperative for the presenter to double confirm if his clarification provided has satisfied the questioner. 2) Also you can ask the others in the room to 'add' on to the points clarified as this will improvise your similar or same topic presentation very effective next time.

I do agree, if you are going to take questions, that its a great idea to double check you and the audience understand not only the question but also the context the question has been asked in.

One strategy I find helpful is asking the questioner to reframe the solution in a practical or 'real-world' context. In other words, ask "Can you think of a situation where this strategy could be useful?" If the user doesn't immediately answer (not every person likes to be put on the spot), the question can be directed to the larger audience. Users often enjoy hearing how their peers successfully deal with similar challenges. It provides an excellent measure of how well the information is being absorbed and, more importantly, gets your users to start moving from a good 'idea' to a tool with practical application. I also provide contact information, because some learners may need to process information before asking questions.

My strategy? Prepare in advance one or two questions acting like 'ice-breaking'. Of course questions are always welcome but sometimes people are shy or tired. Ask for collaboration to person you are confident with.

"Never leave a bad taste in the public's mouth". When finishing your presentation be positive, please say "as I'm about to finish... I'm glad you followed me and I thank you very much for your participation. This last picture (maybe a pet, a mountain, a river, etc.) is for you !". If you treat your audience with empathy and respect you will be always appreciated.

Also do not forget to thank & mention the audience as 'most participative audience" which will make the audience gratified & fulfilled.

When wrapping up a Q&A section or presentation, not only does expressing gratitude for your audience's attention and participation set a positive tone, but summarizing key points and listing actionable items amplifies the impact of your message. here are some reasons that I think it is so, Clarity: Summarizing helps ensure that your main takeaways are clear and easy to remember. Actionable Insights: This reduces any ambiguity and encourages a proactive response. Agreement: It helps everyone get on the same page. Memorability: People remember things better when they are presented with a summary or a list of key points. This enhances the likelihood that your message will stick with your audience.

1) Ask open-ended questions before you start your presentation : Asking open-ended questions that encourage the audience to think critically about the topic. This will help you gauge their level of understanding and identify any areas that need further clarification 2) As far as possible use real-life examples in your presentation. Using real-life examples to illustrate complex concepts and make them more relatable to your audience. This will help the audience to understand the event & the material better and retain the information for longer.

Concept below helps when answering questions: Reflect- rephrase and reflect the same question to the person who asked it to know if what you explained earlier has been understood or needs further clarification. Deflect - the same question to the group. This helps to ascertain if the rest of the participants have understood the topic under discussion. By this time as the presenter you will have established understanding of the topic and organised your thoughts to give a detailed response. Refer - note and park the question to give a detailed response later if it requires insights from a topic specialist. Defer- note and park questions that are unrelated to the topic at hand to be answered at the end of the presentation.

If you did put a question on hold stating that it was off topic, remember to offer your time for a 1:1 short conversation for any other questions at the end. This shows that you are polite, truly want to add value, and are knowledgeable and confident about your subject.

Respect Time Constraints: If your presentation has a tight schedule, inform your audience that you'll adhere to the allocated time for questions. Let them know that you're available for follow-up discussions afterward.

Questions help understand the level of engagement of the audience, adding a few bomb slides to create curiosity is a great way to engage. Questions should be appreciated and there are no wrong questions from the audience.
