Tim Shields posted thisI said something at a vendor conference recently that raised a few eyebrows. I have AI fatigue. There, I said it again. Every vendor suddenly has an “AI-powered” product. But here’s the thing… I still use AI every single day. And I’m guessing you do too. Used properly, it genuinely helps. (And yes, ChatGPT did help me check this post for spelling mistakes.) The real difference is when organisations roll AI out at scale. Spoiler alert: AI is going to expose your messy data. Fast. Because AI doesn’t just help you work faster. It exposes how messy your data really is. Tools like Copilot rely on your Microsoft 365 data. Files, emails, Teams messages, SharePoint sites. If that data isn’t organised with the right permissions, things can get out of hand very quickly. Old project sites nobody cleaned up. Guest access that was never reviewed. That forgotten SharePoint folder that still contains last year’s “confidential” planning docs. AI didn’t create those problems. But it will surface them a lot faster. So while the conversation is often about what AI can do, the more practical question might be: Before rolling out Copilot, when was the last time you reviewed your Teams, sites, and permissions?

Tim Shields liked thisTim Shields liked thisHow can you quickly get an idea if you have any data governance issues? Microsoft Purview audit logs. They require virtually no setup, and you probably already have 180 days of history ready to query. I used them to build a governance solution in a recent hackathon. After a long while, I joined one again, I switched energy drinks for snacks, and instead of a team, I had my AI Agents, but the fun of it remained. The idea was to try and create something that will show users why data governance matters. If you had a security breach or information got out that should not have, the cost and importance of governance is quite clear to you. But if you are somewhat following the commonsense practices, and have not had any issues so far, spending time and resources on implementing governance policies is hard to justify. Everything (or most everything) you and your users are doing is tracked in Purview, and as I was building my prototype, I identified some of the worst stuff you can find in your audit logs: 1. Anonymous Link being created – anonymous links are dangerous. Anyone in possession of one can see the content, and a lot of these can make your minor governance issue into a major one. 2. Anonymous Link being used – there are still some actively being used inside your organization, hunt them down and delete them. 3. Content being shared with everyone groups – while the easiest way to share something across organization, when you see this, it speaks of gaps inside of your information and governance strategy. I urge you to go to your Purview, and search for these events, and see what comes up. Hopefully you are not surprised. As for my hackathon, I managed to build a working prototype. It still needs a bit of polish, but I am hopeful it will see the light of release!

It gives teams a way to move old files to storage that costs 75% less, without deleting them or archiving entire sites. A 100 TB tenant (like the one from our example) could save $90K/year with this. The hard part is knowing what's safe to archive, what's still in use, and how much version sprawl is driving up your bill. We are still finding ways to understand and harness the technology of today in the same way we were 20, 30, 40+ years ago. For kids of today, AI isn’t or won’t be exciting. Everyone recognises that content sprawl and associated storage waste are problems, but many organisations don't have a clear way to address them. At ESPC 2024, we presented our early findings: 𝘃𝗲𝗿𝘀𝗶𝗼𝗻 𝗰𝗹𝗲𝗮𝗻𝘂𝗽 𝗮𝗹𝗼𝗻𝗲 𝗰𝗮𝗻 𝘀𝗹𝗮𝘀𝗵 𝟰𝟬% 𝗼𝗳 𝘁𝗼𝘁𝗮𝗹 𝗦𝗵𝗮𝗿𝗲𝗣𝗼𝗶𝗻𝘁 𝘀𝘁𝗼𝗿𝗮𝗴𝗲. That single optimisation is already saving Syskit Point customers close to $6M yearly. But the inactive content problem? There wasn't a clean way to deal with it. Microsoft has M365 Archive, but it forces you to archive entire sites. While that helps with sprawl, the real storage mess was never in abandoned sites. It was buried inside the active ones. So adoption was slow. Our data shows that only 10% of organisations have M365 Archive enabled. That changed recently, and I feel it's going under the radar. Microsoft announced file-level archiving, rolling out to public preview this month. You can now move specific files to cold storage at $0.05/GB/month. That's a 75% cost cut. 𝗪𝗵𝗲𝗻 𝟲𝟱% 𝗼𝗳 𝗲𝗻𝘁𝗲𝗿𝗽𝗿𝗶𝘀𝗲 𝗱𝗮𝘁𝗮 𝗵𝗮𝘀𝗻'𝘁 𝗯𝗲𝗲𝗻 𝘁𝗼𝘂𝗰𝗵𝗲𝗱 𝗶𝗻 𝘆𝗲𝗮𝗿𝘀, collecting dust at $0.20/GB, the math alone is hard to ignore. This is not just a savings exercise. If you're rolling out #Copilot, minimising the amount of irrelevant content it can process is key to better adoption! Kudos to Matija, who has been leading this research. How much do you invest per rep in productivity and insights tools? And how much do you actually invest in their skills and growth? For most, when adding up the platforms and tools that 'help' reps productivity - revenue intelligence, sales engagement, sales enablement etc etc, it's a multiple of the investment in skills and growth. Those investments may all be great investments with strong ROI. And some may argue 'these tools help with skills and growth too' - sharing best practices, role play automation, scoring of calls. It can ring true, especially for the most driven to self-develop. The proliferation of tools can compete with investments in skills and growth. Budgets are finite. The promises of tools - 'replicating your best sellers', 'increasing revenues by xx%' 'improving win rates by y%' are compelling. And often justified, I'm not pitching against them. We use plenty of great tools. But when skills and growth becomes underinvested in due to the proliferation of great tools, you end up with an underperforming, well-equipped army.
