How to move candidate tracking out of Excel

Clean the data before importing it. A smaller, current pipeline is more useful than carrying every old row into a new system.

  1. Choose the active records

    Identify the open jobs and candidates still in a live process. Set aside duplicates and records you no longer have a reason to retain.

  2. Agree on the stages

    Define a short pipeline that matches how your team actually decides: new, screening, interview, offer, hired, and rejected may be enough.

  3. Prepare the CSV

    Standardise names, email addresses, job names, and current stages. Join includes CSV import, so you can bring the useful records across instead of retyping them.

  4. Set access and ownership

    Invite the people who need to review candidates, decide who owns each vacancy, and check that access is no broader than the work requires.

  5. Run one job end to end

Questions about replacing a hiring spreadsheet

When should a company replace its recruitment spreadsheet?
Consider replacing it when more than one person reviews candidates, the same details are copied between email and files, follow-ups depend on someone's memory, or it is difficult to answer who can access a record and why it is still retained. A spreadsheet may still be adequate for a very small, occasional process owned by one person.
Can I import candidates from Excel into Join?
Yes. Export the useful candidate records as a CSV, clean duplicates and obsolete data, and import the file into Join. CSV import is built in. You can also start with an empty pipeline and import later, so the existing spreadsheet does not have to block setup.
Is using a recruitment spreadsheet a GDPR breach?
No. A spreadsheet is not automatically unlawful. The risk depends on how candidate data is collected, secured, shared, retained, and deleted. The UK Information Commissioner's Office treats recruitment as personal-data processing from advertising through deletion and expects organisations to control access, retention, and candidate rights. Its recruitment and selection guidance explains those duties. Software can support the process, but it does not make the organisation compliant on its own.
What candidate data controls does Join provide?
Candidate profiles show consent status and include tools for data export, redaction, and erasure. Team permissions help restrict access. Your organisation still decides the lawful basis, retention schedule, access policy, and how it answers data-subject requests.
Will moving to an ATS remove all manual work?
No. Hiring decisions, useful interview notes, data-quality checks, and sensitive candidate communication still need people. Join can reduce repeated copying, centralise the record, and automate selected administrative steps, but the team remains responsible for the process.
