I struggled with this for the longest time until I discovered the power of deep, focused work. It changed everything. Now, instead of juggling tasks, I commit to structured, focused work sessions. Here’s what helped me, and it might just help you too: 1. Set Clear Priorities ↳ Know exactly what needs your attention before you start the day. For me, it’s the key research tasks that move the needle. 2. Time Block Your Tasks ↳ Allocate specific blocks of time for uninterrupted work. Teaching prep? 8-9 PM and 5-7 AM. Research? 1-3 PM. Editorial and industry engagement work? Fridays. No distractions. 3. Eliminate Distractions ↳ I turn off all notifications—emails, texts, you name it. A quiet workspace is the foundation of deep work. 4. Work in Sprints ↳ The Pomodoro Technique (25 minutes work, 5-minute breaks) has been a real game-changer. It keeps my energy and focus up all day. 5. Review and Adjust ↳ At the end of the day, I reflect on what worked and make tweaks for tomorrow. This small habit keeps me improving.     I am a "doing a lot of things at once" person. Focusing is something I constantly work on as a founder, because only I’m responsible for where my time and energy go. And as any founder knows, there will always be a million things needing your time and energy. So, after years of experimentation with systems and practices, here's the exact combination that works for me: 1/ Start with 3 minutes of box breathing > This centers me and brings my attention back to the present moment. 2/ Alignment check between feelings and thoughts > When these align, I can focus with clarity. When they’re misaligned, I address my feelings first by taking a walk and processing them directly. 3/ I create a modified GTD (Getting Things Done) system with 4 categories > - Inbox - all new tasks land here - This Week - promoted from inbox during weekly review - Today - promoted from This Week each morning - Waiting For - tasks delegated to others 4/ Start working using dedicated applications for different task types > Context switching drains mental energy, so I use specific tools for specific types of work. 5/ Pen and paper for thinking > Writing or drawing things out physically helps me process information differently. The physical medium creates space for deeper concentration. — The real challenge here is having the patience to stick with one thing until the end, even when distractions appear.   • Growing a business is not about hustling 24/7. The real key is something simpler: Laser focus in a world of cheap dopamine hits. How to protect your focus and avoid distraction: 1. Wake up without an alarm Alarm disrupts your sleep cycle and can lead to: - Sleep inertia - Drowsiness - Raised cortisol levels 2. Execute my Clear Mind morning routine Things my routine includes: • Pray for 10 mins • Visualize for 10 mins • Goal Review for 10 mins • Write/journal for 15 mins • Read something inspiring for 15 mins • Workout/breathe/move for 30-60 mins Win your AM, win the day. 3. No phone or distraction until deep work is finished 3 days/week, from 8 am to 12 pm, I lock my phone and focus entirely on working. The aim is to get more done than most do in a week. This is also the reason why… 4. Every meeting is scheduled in the afternoon With few exceptions, meetings are the least effective way to spend your time. Your first few hours should only be focused on doing your highest-leverage activities. Selling, creating, building, improving, problem-solving, etc. 5. Delegate everything I can to my EA I connect with my EA as soon as my focus work is complete. She is my first line of defense against things like: • Communicating with others • Managing my email • Setting-up calls Focus = getting rid of most of your work! 6. Optimal nutrition It's wild how many people don't think about optimizing their nutrition when trying to improve their focus. Your cognitive function is directly correlated with the quality of fuel you put in your body. Nutrition matters most. My nutrition-based focus tips: • Power-packed smoothie every AM (protein, creatine, almond butter, fiber, blueberries) • No sugar/high glycemic carbs throughout the day - nuts, cottage cheese, veggies/hummus as snacks • No caffeine in the afternoon - use ketones instead 7. Nighttime routine Review your entire day's progress. What didn't get done? Reschedule it on your calendar. Any areas of improvement? Note it down as well. Your next day depends on how you plan it the night before that. Counterintuitive stuff: • Successful people don't do all the boring stuff you waste your time on. Outsource everything you can. • Rate yourself every week/month/quarter at the speed you can do something. As time progresses, you must do things faster. • Anyone can make more money by working more. The idea is to work less/same & still make more money which can only happen if you're getting better. • If people do not get mad at you for how unavailable you are, you're far too available.     We're all too busy at work…but we don't need to be. 7 ways to work smarter, not harder: 1/ Frontload your day: Put your most important tasks at the beginning of your day. You'll have more energy to tackle them early on before distractions pop up. Write down your top 3 tasks each day and do them. No excuses. 2/ Set shorter deadlines: Parkinson's Law says that work expands to fill the time available for its completion. If you're about to start a month-long project, ask yourself: "What does the 2-week version look like?" Shorter deadlines force you to focus on what matters. 3/ Track your time: Spend a week tracking your time. Record everything. At the end of 1 week, you'll likely find that you spend more time than you realize on specific activities. Adjust accordingly. 4/ Batch tasks together: Block out some time and blast through repetitive tasks such as: • Responding to emails • Checking slack • Pulling metrics You'll get into a groove and get through them faster. 5/ Do what gives you energy: At the end of your week, look back at the projects you worked on. Identify what tasks gave you energy and which tasks sucked. Figure out a way to delegate tasks that don't give you energy. Speaking of delegating... 6/ Delegate more: Delegating gives you more time to focus on the most important tasks. Try out the Eisenhower Matrix for decision-making: High urgency + High importance = DO NOW Low urgency + High importance = SCHEDULE High urgency + Low importance = DELEGATE Low urgency + Low importance = DELETE 7/ Take more breaks: This is counter-intuitive but works. If you go too long without a break, you will eventually get tired and make mistakes. Try the Pomodoro Technique: Focused work for 25 min. Then take a 5 min break.   • In an era when calendars can rule our lives, I've found the difference between feeling overwhelmed and feeling accomplished comes down to one thing: intentional focus time. Three practical steps have helped me break free from the endless Post-It pile-up and back-to-back meeting cycle to create space for focus and creativity. Here are some strategies that work for me: Schedule it or it won't happen. Block focus time on your calendar with the same commitment you'd give to a client meeting. Protect it fiercely. Find an accountability buddy. I know several CEOs who have team members sit with them during review sessions. I tried this “co-working” model myself recently - having someone help me sort through post-it notes and prioritize tasks was incredibly liberating! I cleared more in one hour than I had in weeks. Change your environment. For many years, I’ve had a favorite booth at a nearby restaurant where I retreat to crank through work. Something about changing the scenery switches my brain into productivity mode. Find your focus spot (and finding a caffeinated beverage on their menu that you love also helps). 😊 Be intentional about outcomes. And if the answer was just "find more willpower," then I would've had to give up a looooong time ago. 😅 Luckily, there are great research-backed strategies to help us focus when we're procrastinating, when we're feeling overwhelmed, and even when we're feeling disengaged. Consider saving this post so you can try one of these when you need it!👇 1. The "Short-Time Pick One" Strategy: Pick the task you’re avoiding most, and commit to just 5 minutes. (Or to just one song... like All Too Well, 10-Minute Version!) Research shows that simply starting reduces anxiety and builds momentum. 2. The "Brain Dump List-Out" Strategy: Write down everything on your mind. All of it. It might take a few minutes! Then take a minute to go over the list and identify the three most important, most urgent tasks. The goal isn’t to do it all — it’s to clear your head so you can focus on what’s truly urgent today. 3. The Look-Back Snapshot Look back six months: what was on your calendar, what goals were you working toward, what progress have you made? First, celebrate that progress — literally jot down a few things you've done or learned since then. Then look six months ahead. Where do you want to be by then?     As a trial lawyer, dad, husband, and mentor, I'm constantly asked how I manage to stay productive without letting things fall through the cracks. Of course, everyone is different. There are no universal laws for productivity. However, here are a few strategies that have helped me 👇 Strategy 1: The Inverted Pyramid Method The key is to begin your day with your most critical task. Dedicate a set time, for instance, 3 hours, exclusively to this task. After this, shift your focus to tasks of lesser importance in a descending order of time and priority. This method doesn't demand intricate planning or scheduling; just a timer, focused attention, and the discipline to stick to the time slots. Strategy 2: The Pareto Principle This principle posits that 80% of outcomes are derived from 20% of the causes. The goal here is to identify and concentrate on that productive 20%. This approach is about smart work, not hard work. It requires you to steer clear of 'Feel good' tasks – those that seem productive but don't contribute significantly to your ultimate goals. Strategy 3: Smart Breaks Pay attention to your mental and physical cues. When you feel your concentration waning, it's time for a break. But be strategic about it. Instead of resorting to your phone or other distractions, engage in high-intensity exercises. This boosts your BDNF (Brain-Derived Neurotrophic Factor), which enhances brain function and primes you for subsequent tasks. Final Strategy: Unwavering Focus When it's time to work, eliminate all distractions. Avoid multitasking and background noise. Direct 100% of your focus to the task at hand. This undivided attention ensures maximum productivity and quality in your work. For me, this means 25 minutes on the timer with NO distractions. It could be up to 45 minutes.
