After two decades of leading teams, I discovered that traditional to-do lists were holding back my productivity. Here's what I have found working well for me in 2025 - 'interstitial journaling'. Outlined by Tony Stubblebine, this approach is a unified workflow that combines note-taking, task management, and time tracking in one seamless system. Rather than saving all your journaling for the beginning or end of the day, interstitial journaling happens in the interstices (the spaces between tasks). After completing a task, take brief pauses to document three things ... 👉 the current time 👉 thoughts about what you just completed 👉 your next focused action I found this approach particularly valuable because it addresses a fundamental challenge in modern work - the constant context-switching that fragments our attention, particularly mine! And it also helps me course correct, cut back on 'guilt', and send myself positive reinforcement. Here's what I discovered works particularly well ... ➞ I record timestamps to track patterns in my peak performance hours ➞ I catch distractions and build greater self-awareness ➞ It makes breaks more mindful and purposeful ➞ It increases awareness of procrastination patterns and helps reduce them ➞ It creates a natural system for tracking well-being and focus throughout the day With January 10th this year, known as ‘Quitter's Day,’ when many people abandon their New Year's resolutions - this could be the simple yet powerful system you need to stay on track with your goals for 2025. How crazy is it that over 20 years ago, Berners-Lee, Hendler, and Lassila laid out a vision in 'The Semantic Web' that we're only now fully appreciating as the way forward for AI? In 2001, when the web was still finding its infancy, these visionaries were already mapping out a future where: - Machines could understand and reason with web content - AI agents could autonomously perform complex tasks by interpreting structured data - A global web of machine-readable information would enable unprecedented knowledge sharing and problem-solving Today, as we try making AI systems more transparent and aligned with our needs and values, their concept of a structured, semantic web feels more relevant than ever. The paper's emphasis on ontologies, shared vocabularies, and explicit meaning provides a potential antidote to the 'black box' nature of current AI systems. The world is going into this "agentic era" but shouldn't we circle back to the principles they laid out to build explainable AI and models that can catch common sense reasoning? Consider how their ideas could revolutionize something as fundamental as task management in business: 1) A unified task ontology could standardize task descriptions across all systems and departments. 2) AI agents could intelligently route and prioritize tasks based on deep understanding of context and importance. 3) Cross-system integration could eliminate silos, allowing seamless task flow between ERP, CRM, and project management tools. 4) Automated workflow optimization could proactively identify bottlenecks and suggest efficiencies. 5) Predictive resource allocation could forecast needs and conflicts far in advance. I think their vision of a web where meaning is explicit and machine-readable is the key to unlocking the next phase of AI advancement. They were visionaries ahead of their time. The time is now. I feel lucky I'm able to work on this with my team and partners. The use case above about task management is part of what we are currently open sourcing with ABI, our Organizational AI System.
