Your resume is a marketing document, and the first client it needs to impress is an algorithm: the Applicant Tracking System. Many ambitious professionals struggle to advance because their applications never make it past this initial digital gate. Here's how to ensure your resume stands out to the bots and then to human recruiters. Start by mirroring the job description's language. If the role calls for a 'results-oriented marketing manager with expertise in digital campaigns,' ensure those exact phrases are present in your summary and experience. Don't just paraphrase; use the precise terminology where appropriate. This isn't about copying; it's about smart alignment. Next, understand the importance of 'white space' and readability. While ATS doesn't care about aesthetics, a cluttered resume can confuse its parsing capabilities. Use clear headings, bullet points, and appropriate margins. This also makes it easier for the human reviewer once your resume clears the ATS. Finally, consider a 'master resume' approach. Build a comprehensive resume with all your skills and experiences. Then, for each application, tailor it down, selecting and optimizing content specifically for that job description. As a recruiter, I'm often asked: "𝗛𝗼𝘄 𝗺𝗮𝗻𝘆 𝘃𝗲𝗿𝘀𝗶𝗼𝗻𝘀 𝗼𝗳 𝗮 𝗿𝗲𝘀𝘂𝗺𝗲 𝗱𝗼 𝘆𝗼𝘂 𝗻𝗲𝗲𝗱 𝘁𝗼 𝗳𝗶𝗻𝗱 𝗮 𝗷𝗼𝗯?" The answer isn't one-size-fits-all, but here's what I recommend: 1. Create your master resume: This is a comprehensive resume containing all your experiences, skills, and achievements. It's not for sending out, but for reference so you can copy + paste experiences into different tailored resumes (it’s okay if this is 2+ pages long). This is especially useful if you have lots of various experiences that don’t fit in your normal resume. 2. Create a general-purpose resume: Keep a well-rounded, cleaner version of your resume ready for networking events, career fairs, or general opportunities. The resume should be focused on your #1 target job title. If you’re mainly looking for a SWE job, it should be oriented towards that. 3. Develop multiple resumes for diverse roles. If you're exploring different career paths (e.g., SWE and Data Science), create a general resume for each field that highlights your strengths in that field. 4. Tailor for each application: For jobs that you are highly interested in, you should tailor them individually. You may only end up using these tailored resumes for one application, but they help you stand out in a tough job market. While it’s hard to quantify how many resumes is best, I’d recommend: ✅ 1 master resume. ✅ 1 general-purpose resume. ✅ 1 resume for each additional field you are interested in. ✅ Tailoring your resume for important jobs. 💡 P.S. Most geoscientists have a resume. But if you don't have a 𝘗𝘳𝘪𝘯𝘤𝘪𝘱𝘢𝘭 𝘙𝘦𝘴𝘶𝘮𝘦, you'll struggle to remember your own greatness when it’s time to update it. This is not a resume you send out with applications or to recruiters - it's your internal career database, your personal archive of everything you've accomplished. Building one also helps you spot trends - those subtle shifts in your skills, interests and impact that show how your career has evolved. Once you open your eyes to these, you can start asking yourself what these shifts mean for your future direction. Here's what I recommend to my clients: 1️⃣ Set a timer for 25 minutes and 𝘀𝘁𝗮𝗿𝘁 𝘄𝗿𝗶𝘁𝗶𝗻𝗴 𝗱𝗼𝘄𝗻 𝗮𝗹𝗹 𝗼𝗳 𝘆𝗼𝘂𝗿 𝗷𝗼𝗯𝘀 𝗮𝗻𝗱 𝗲𝘅𝗽𝗲𝗿𝗶𝗲𝗻𝗰𝗲𝘀. Don’t format - just write. Work backward through your career. Go back as far as you can - even if you won’t use that lab tech experience from 25 years ago on a resume today, it’s still valuable to acknowledge. 2️⃣ Grab your 𝗽𝗲𝗿𝗳𝗼𝗿𝗺𝗮𝗻𝗰𝗲 𝗿𝗲𝘃𝗶𝗲𝘄𝘀 and spend another focused session filling in what you missed. Repeat these sessions until you’ve captured your full career story. 3️⃣ Review what you’ve written and format it as 𝗮𝗰𝗰𝗼𝗺𝗽𝗹𝗶𝘀𝗵𝗺𝗲𝗻𝘁𝘀 𝘄𝗶𝘁𝗵 𝗺𝗲𝘁𝗿𝗶𝗰𝘀. Move from narrative to resume-style bullet points. Example: “Reduced plume-area uncertainty by 40% by modeling contaminant transport using MODFLOW.” 4️⃣ Reframe your bullet points for impact using three lenses - 𝗧𝗲𝗰𝗵𝗻𝗶𝗰𝗮𝗹, 𝗕𝘂𝘀𝗶𝗻𝗲𝘀𝘀, and 𝗕𝗲𝗵𝗮𝘃𝗶𝗼𝗿𝗮𝗹. Ask: 𝘚𝘰 𝘸𝘩𝘢𝘵? 𝘞𝘩𝘺 𝘥𝘰𝘦𝘴 𝘵𝘩𝘪𝘴 𝘢𝘤𝘤𝘰𝘮𝘱𝘭𝘪𝘴𝘩𝘮𝘦𝘯𝘵 𝘮𝘢𝘵𝘵𝘦𝘳? - 𝗧𝗲𝗰𝗵𝗻𝗶𝗰𝗮𝗹: What did I do to address the challenge? - 𝗕𝘂𝘀𝗶𝗻𝗲𝘀𝘀: What was the driver and value created? - 𝗕𝗲𝗵𝗮𝘃𝗶𝗼𝗿𝗮𝗹: How did I demonstrate things like teamwork, communication, or leadership? At this point, you have your master database of experiences and accomplishments. If you are ever in another job search, you have a great resource from which to pull resume content. A 𝘗𝘳𝘪𝘯𝘤𝘪𝘱𝘢𝘭 𝘙𝘦𝘴𝘶𝘮𝘦 is more than a document - it’s a record of a career well lived. As you read it, take a moment for introspection: What have you learned? What insights have you gained? You 𝘵𝘩𝘪𝘯𝘬 you'll remember the big moments. For me, those big moments were days like my daughter standing up in her crib for the first time. Her first steps. I was so sure I'd NEVER forget, convinced the dates would be etched in my memory forever. How could I forget? They were BIG milestones that brought me so much joy... But here I am, nearly a decade later, and I cannot recall the exact dates or times. The specifics have faded, just so like many other milestones that felt unforgettable at the time. Our brains play tricks on us. In the milestone moments, the wins feel monumental. We're riding such a high that we feel like we'll never forget. But, the truth is, life keeps moving. Another win comes. Challenges creep in. Those once vivid memories start to blur. The same thing happens with your career. The customer wins, revenue numbers and problems you've solved--they're all SO clear in the moment. But when it's time to update your resume or prepare for an interview, you might be left scrambling if you haven't written them down. The details feel just out of reach. So, what do you do? Create a master copy of your resume--a private document just for you. Think of it as a repository of sorts. A place where you store all of your accomplishments, big and seemingly small. When you close a deal, solve a tough issue or hit a metric, take a few minutes to write it down. What did you do? What challenges did you face? Who did you collaborate with? What was the outcome? 7 Steps To Create A Job-Winning Master Resume (& Cut Your Application Time By 90%): Context: Why A Master Resume? Job seekers spend WAY too long updating their resumes. Most of the time they’re rewriting them from scratch, or making significant edits. Enter the Master Resume. This is a document that houses all of your experience so you can easily duplicate it and remove content every time you want to apply. 1. Brain Dump Every Role Start by listing every role you’ve held in your career: Full Time Contract / Part Time Degrees / Certifications Add them to your resume. Don’t worry about length or formatting yet. For now, your goal is to capture every role so that you can… 2. Brain Dump Your Experience For each role you brainstormed, add every single piece of experience you can think of. Let it flow – don’t worry about keywords, outcomes, or anything else yet. Instead, just aim to get as much content as you can onto the document for each role. This is going to be the foundation. 3. Optimize Your Content Start with the first bullet on your resume. Run it through ResyBullet.io. Review the feedback, make updates, and rescan until you get a score of 60+. Then rinse and repeat for every bullet on your resume.
