Founders: Let’s Talk About Context Switching

Context switching is when you shift your attention from one task or project to another. Each time you switch, your brain needs to:

  • Stop thinking about the previous task
  • Load up all the relevant information for the new task
  • Get back into a productive flow state

This "loading time" creates mental overhead.

Studies show it can take 20+ minutes to fully refocus after switching tasks, and frequent switching can reduce productivity by up to 40%.

Unlike specialists who stay in one domain, founders operate as generalists by necessity. On top of that, the work is interrupt-driven.

Team members need decisions. Customers need answers. Opportunities arrive without warning.

The result is constant mental reloading. Even when you sit down to work, part of your attention is still attached to the previous problem. That friction compounds throughout the day.


How Notion reduces context switching overhead

Notion helps in a few key ways.

Centralized information Instead of jumping between email, Slack, Docs, spreadsheets, and notes, everything lives in one place. When you switch work contexts, you are not also switching tools.

Linked databases Projects connect to tasks. Tasks connect to meetings. Meetings connect to clients. When you move between contexts, the relevant information is already surfaced. You are not reconstructing the story from scratch.

Comments in Tasks and Projects: Additionally, as Context switching explodes when communication floats freely. A decision in email. A clarification in Slack (which you could get rid of if you use notion, just saying). A note in a doc you forgot existed. Notion reduces this by anchoring communication to the object it relates to. Project comments capture strategic discussion Task comments capture execution-level decisions Updates stay visible where the work happens This means fewer interruptions and fewer follow-ups just to re-establish context.

Templates Recurring contexts deserve structure. Weekly reviews. Sales calls. Investor updates. Sprint planning. Templates reduce setup cost. You are not asking “what do I need here?” every time you enter a familiar mode of work.

Meetings: Notion allows you to have AI meeting notes from meetings. You can then create tasks from those notes and attach those tasks to projects, which are attached to business goals. That way nothing slips through the cracks.

Founders: let talk about your meetings

AI: AI is most helpful when it saves you from having to “catch yourself back up.” Instead of rereading old notes, long threads, or half-finished documents, AI can quickly tell you where things stand right now. What was decided. What is still open. What needs to happen next.

This really matters when you come back to a project after a few days away. You do not have to restart from zero or rebuild the story in your head.

It reduces the time between opening your laptop and doing real work.

When your calendar aligns with your projects and tasks, your brain spends less energy figuring out what mode it needs to be in next.

One important caveat!

Notion itself can increase cognitive load if it is messy or overbuilt.

The value comes from being intentional about structure. Your system should mirror how you actually work, not how you think you are supposed to work.

When done well, Notion acts as external working memory. It remembers context so you do not have to.
