Running a nonprofit without a budget is like trying to drive cross-country without a map. You might get there… but you’ll waste gas, take wrong turns, and stress yourself out along the way. A budget gives your team clarity. It helps you see what money is coming in, where it’s going out, and how much you can really put toward your mission. It also builds trust with your board and donors want to see you’re not just passionate, but also responsible with every dollar. So how do you actually build a solid nonprofit budget? Here’s a simple roadmap: 1️⃣ Start with income Look at your past year’s donations, grants, program revenue, and any other funding. Be realistic. It’s better to underestimate income than overpromise. 2️⃣ List out expenses Break them into categories: programs, staff, admin, fundraising, facilities, and tech. Don’t forget the “hidden” costs like insurance, compliance, or software subscriptions. 3️⃣ Plan for programs first Your mission is the heart. Make sure your program costs are clear and fully funded before you pad other areas. 4️⃣ Build in reserves Even if it’s just a small percentage, set aside money for emergencies or months when donations dip. This is what keeps you sleeping at night. 5️⃣ Review and adjust Budgets aren’t “set and forget.” Review monthly. Compare actuals to budget and adjust as needed. It’s a living document, not a one-time report. I need the program costs from last year by the end of the day for this grant application. Here’s the quick breakdown: ✅ 1023-EZ: Ideal for smaller organizations—your projected revenue must be under $50,000 per year for the next 3 years and total assets under $250,000.
