A lot of teams replacing SharePoint Server 2016 & 2019 are focused on the deadline: July 14, 2026. The harder problem is what comes after. Most SharePoint intranets that get replaced don't fail because the new platform is wrong. They fail because the same governance problems move with them. No content owners. No review cycles. No structure employees can trust. 91% of organizations have an intranet. Only 13% of employees use it daily. SharePoint end of life is a genuine reset opportunity — but only if governance is treated as part of the migration, not an afterthought. SharePoint isn't broken. It's being used without a clear operating model. Most organizations expect SharePoint to function as a collaboration platform. But in reality, it acts as a bridge between end users and systems of record. It connects workflows, data, and processes across the organization. When that bridge isn't clearly designed, problems start to appear. Workflows are undefined. Automations are inconsistent. Ownership is unclear. And without governance, no one is responsible for ensuring those processes are monitored, maintained, or improved over time. What looks like a platform issue is usually a design and governance gap. SharePoint works exactly as intended. The problem is how it's implemented and managed. If your SharePoint looks like a maze of folders inside folders inside folders… you don’t have a structure problem. You have a governance problem. Over the years building PMOs and IMOs, I’ve learned this: Deep folder structures don’t create organization. They create friction. Instead, I advocate for: → Flat (or minimally layered) folder structures → Standardized metadata and tagging → Search-first design Because the goal isn’t to store information. It’s to find, use, and trust it—fast. Here are 3 ways excessive nesting quietly kills productivity and operational excellence: 1. It increases time-to-find (and cognitive load) Every additional folder layer forces decision-making: “Where was that saved again?” This slows teams down and introduces inconsistency in how content is stored and retrieved. 2. It breaks searchability Modern platforms like SharePoint are designed for metadata-driven search, not manual navigation. Deep hierarchies hide content instead of surfacing it—especially across programs and portfolios. 3. It creates duplication and version chaos When people can’t find what they need quickly, they recreate it. Now you have multiple versions, unclear sources of truth, and governance breakdown. SharePoint isn’t just a file server!!! If your SharePoint looks like this, you're using it wrong: Finance → Reports → 2025 → Q1 → Final → Final_v2 → Final_Final. Sound familiar? Many organizations transitioned from file servers to SharePoint Online but retained the same folder mindset. I often encounter environments with: - Deep folder structures - Folders inside more folders - Additional layers on top Yes, technically it works, but this approach overlooks what makes SharePoint powerful. Modern SharePoint is designed to function differently: - Metadata instead of endless folders - Search instead of navigating through layers - Views and filters instead of rigid hierarchies - Automation instead of manual processes While many companies migrate their content to SharePoint Online, they often maintain old habits, resulting in much of the platform’s value being lost. In many projects I've worked on, the biggest challenge wasn't the technology itself, but rather shifting the mindset from “storing files” to “managing information.” When organizations embrace this shift, the benefits are clear: - Information is easier to find - Governance improves - Automation becomes feasible - The overall user experience enhances SharePoint was never meant to be just a document storage solution. It’s truly a platform for knowledge management and collaboration.
