MSPs talk a lot about uptime and SLAs, but the ones who build loyalty do something simpler: They help clients picture what data recovery actually looks like by explaining things like where data lives, how fast it comes back, and what the first hour after disaster really feels like. That kind of clarity builds client confidence that no dashboard ever could. You can automate backups, monitor uptime, and check all the compliance boxes, but if your clients don’t understand how recovery works, they’ll never fully trust it. Trust is built when you explain the "what if." If you’re an MSP who wants clients to actually "get it" before they need it... steal this post. LinkedIn has a "save" button for a reason.

A well-organized archiving strategy of your IMAP data should A reliable IMAP archive should track these changes without overwriting important data or creating redundant copies. Some backup methods replace old archives entirely, erasing emails that existed at the time of the last backup but were later removed. Part 3: The Unexpected Discovery Day 3 of the recovery. My lead engineer found me in the war room. "There's an AS/400 in the basement. Still running." I almost dropped my coffee. In ten weeks, nobody had mentioned this system. We went down to investigate. Sure enough, tucked behind old furniture, a decades-old AS/400 hummed away. Still processing batch jobs. Still recording transactions. The ransomware had encrypted their modern systems but completely missed this relic. The catch? The data was trapped in formats from another era. EBCDIC encoding. Fixed-width files. We needed to extract years of transaction history from a system most of my team had only read about in textbooks. So we got creative. Built custom parsers to translate the old formats. Wrote scripts to convert hierarchical databases into something SQL could understand. It was tedious work—not the Hollywood version of hacking, just hours of careful data archaeology. The CFO stopped by daily. "You're really betting our recovery on that thing?" Not betting. Building. Every legacy system we could access meant more verified data. More customer records we could validate. More proof that their financial history hadn't vanished with the encryption. By day 7, we'd recovered significant transaction history. Combined with paper records the compliance team had maintained, we could reconstruct most customer accounts. The old AS/400 data gave us the foundation; the paper trails provided verification. It took three weeks of careful work, but we rebuilt their customer database with high confidence. Not perfect—some recent transactions required manual verification—but functional enough to resume operations. The lesson here isn't about keeping ancient hardware running. It's about understanding your data ecosystem completely. The systems everyone forgets about. The paper processes everyone wants to eliminate. Sometimes your recovery depends on what others consider obsolete. That AS/400 is still running today. Now it's properly documented, integrated, and backed up. Because in recovery, you learn to respect every system that helped you survive. An SLA is not measured in servers. It is measured in deliverables. I have seen how fragile that can be. An incident such as a data center outage can trigger alerts that arrive too late for anyone to act. Internally, everything may keep working, but externally, the connection fails, and reporting emails start piling up. For institutions such as banks and investment firms, it can be especially damaging. In less time than you think, thousands of client reports can stack up in a queue while the SLA clock keeps running. That backlog is the pressure point. Sometimes, IT teams are fortunate and clear it just before the deadline to avoid a penalty. Other teams are not as lucky, and the SLA breach is logged without debate. The reports never reach the client, and the trust is gone. Relying on that timing is not a strategy. In industries such as finance, where every report represents confidence, one missed delivery cuts deeper than any fine. Proactive monitoring prevents this risk. It connects technical failures to business deliverables and raises the alert in time for teams to act. That early action is the only way to stop an outage from becoming a missed SLA. 🛑 Stop Accidental Deletions! Create a "Recycle Bin" for ProLaw Events Does the thought of a user permanently deleting a critical ProLaw event—and the linked document—send a shiver down your spine? Recovering that data often means a painful hunt through system backups, which is far from ideal! The good news? You can easily create a simple, effective safety net right inside ProLaw that prevents permanent data loss and makes recovery a snap. Think of it as a ProLaw Recycle Bin! Here is the quick 4-step workflow to implement this today: 1️⃣ Update the Security Class (Prevent Permanent Deletes) Go to Dashboard - Tools - Setup and update your Security Class. Uncheck the delete options on the Events Tab. This is your first line of defense. 💡 Pro-Tip: Allow users to delete entries only within the last 'X' minutes (on the General Tab) to let them correct immediate mistakes without risking major loss. 2️⃣ Establish the "Recycle Bin" Event Class Since users can't delete, create a new Event Class folder called "Recycle Bin." Instruct users to simply drag and drop unwanted events into this folder instead of trying to delete them. The event and its document are now safely contained! 3️⃣ Clear Out the Bin (Transfer to a Holding Matter) To keep your active Matters clean, periodically clear the "Recycle Bin" folder: Go to Dashboard - Events. Search for all events in the "Recycle Bin" Event Class. Use the "Transfer All Events to Another Matter" option to move them to a dedicated, non-active holding Matter. 4️⃣ Simple Recovery When Needed If a user needs an event or document back, simply search the holding Matter, select the item, and use the "Transfer Event to Another Matter" option to move it back to the active Matter where it belongs. This robust workflow takes the stress out of event management, preventing permanent data loss and transforming document recovery from a crisis into a routine task! The modern enterprise runs on APIs. Your GRC should too. APIs let you pull evidence directly from systems, automatically update risk registers, and continuously monitor controls. A GRC program without APIs is just a filing cabinet.
