Here’s what I ask before we recommend anything: 1. What are you actually doing right now? Not the spreadsheet version. How does it really work? Because if you can’t explain it, software won’t fix it. 2. Who’s going to run this thing? Pick a person. Not a team. A person. If you don’t have that name yet, you’re not ready. 3. How do you know it’s working in 90 days? Give me a number. “Faster donor reports.” “Client data in one place.” Not “people will use it.” 4. What happened to the last tool you tried? This one tells me everything. Most orgs have dead software collecting dust. I need to know why before we try again. 5. Can you give 2 hours a week for a month? This isn’t “we install it and hand it off.” We’re building this together. If that’s not possible, we adjust. The tool doesn’t matter. Readiness does. This is the framework we use at Ella Tech. You know what I notice with most small business owners? They're terrified of being invisible, so they chase every shiny visibility tactic available. New social platform, new ad channel, new tool. The problem is none of it matters if people don't actually trust you. Visibility without credibility is just noise. You can get a thousand eyeballs on your business, but if those eyeballs don't believe you can solve their problem, nothing happens. Here's what actually works. Build credibility first by doing exactly what you say you'll do, consistently. Share real results from real clients. Show your work. Be honest about what you can and can't do. Then, once you've earned that trust, visibility amplifies it. For the SMBs and nonprofits I work with, this is where AI actually fits in. There is a lot of talk about AI and automation in the nonprofit world right now. It can be scary for small teams. We worry that tech will make our work feel cold or robotic. But when used right, tech should actually make us more human. If a tool can handle your data entry or send out tax receipts automatically, that frees up your staff to do the real work: building relationships.
