I recently designed an AI-powered workflow that turns live operational data into a single executive digest. It pulls tasks directly from Notion, surfaces what moved, flags follow-through gaps, and presents only the decisions that need to be made. The digest can be shared as a pdf, a short text/whatsapp or via audio note. The system is built with EA judgment at the center; AI handles synthesis, humans retain control. I work with a lot of AI tools and automation systems. What I’ve learned is that none of them matter if I can’t clearly explain the business without them first. Before I automate anything, I draw the process. One page, end to end. This is a typical journey from stranger → happy customer for a local service business. Once it’s visible, I mark it: 🟢 Green = can be automated 🟡 Yellow = AI + code + human judgment 🖊️ Gray = human work that shouldn’t be rushed or outsourced If I can’t map the journey from initial problem to booking and follow-up, automation usually just highlights where the business was already unclear. Clarity comes long before fancy tools do.

Creating an agent in CoPilot for work for the first time today was genuinely exciting 😊. Its purpose was to help with process diagrams, and it clicked pretty quickly that the real value wasn’t just in asking it to “make a diagram”. What mattered most was being clear about structure ✅— what a good process chart looks like, the order steps should follow, and what details don’t need to be there. Once I was explicit about that, the outputs became surprisingly consistent and actually useful as draft process diagrams. The big takeaway for me is that agents get better fast when you show them what “good” looks like. Do that well, and they become a solid thinking partner — not something that replaces judgement, but something that creates efficiency⌚ .
