In the dairy industry A.I. means a totally different thing than for most other industries 😆 But A.I. tools like Chat GPT can be tool in our toolbox to help us work more efficiently. In a role that revolves around relationships, strategy and storytelling, time is one of the most valuable resources. Between customer visits, farm shows and building marketing plans for the year ahead, there’s always a lot moving at once. Recently, I’ve added a new tool to my workflow that helps me stay a step ahead: ChatGPT. It supports me by helping: • Turn rough ideas into clear, professional communication • Draft marketing and social content efficiently • Brainstorm strategic approaches for customer campaigns • Prepare for meetings with more focused thinking It doesn’t replace the relationship-building or industry knowledge that this work is built on. But it does make it easier to spend less time on the blank page — and more time where it matters most: with customers and partners. The right tools don’t replace what we do. Most people assume ChatGPT underperforms because the prompts aren’t “clever enough.” That’s the wrong diagnosis. The real issue is structure. Here’s the framework that consistently delivers strong output: 1) Define the role: Tell ChatGPT who it is: CEO, marketer, analyst, PM. 2) Be explicit about the task: Say exactly what’s needed: a summary, a plan, an analysis, or an email. 3) Fix the output format: Bullets, table, markdown, slides. Format drives quality. 4) Add only decision-relevant context: Helpful background improves results. Extra detail creates drag. 5) Set constraints early: Tone, length, audience. Fewer constraints mean more rewrites. 6) Reuse proven structures: Keep strong prompt frameworks. Change the task, not the structure. One manager eliminated “prompt fatigue” almost instantly by doing this: -They stopped rewriting prompts every week. -They reused the same structure every time: -“Act as a PM. Create a concise executive bullet update.”

Default Use for daily questions, first drafts, and mixed audiences at work. 2. Professional Use for client emails, proposals, reports, and anything needing credibility. 3. Friendly Use for teaching, onboarding, and explaining hard ideas to beginners fast. 4. Candid Use for honest feedback, career moves, and reality checks without fluff. 5. Quirky Use for hooks, metaphors, and creative angles when you need attention. 6. Efficient Use for quick checklists, clear steps, and short answers under pressure. 7.
