Every post had a moment where my finger stopped. Because I was already running a different checklist. Not a content checklist. A people checklist. There was one person in particular. Someone from a previous industry who knew me when I was more contained, more careful, more willing to stay in the lane that made sense for that room. Every time I wrote something true about who I'd become — I'd think about them reading it. And then I'd fix it. Not delete it. Fix it. Smooth the edge that was too honest. Replace the specific thing with the general one. Take out the sentence that would have made them go — wait, that's not who I thought she was. I told myself I was editing for clarity. I was editing for their comfort. You probably know exactly who yours is. You don't owe them an updated version. But when you move around them — you're not protecting the relationship. You're protecting a version of yourself you've already outgrown. What you say lands a little lighter than it should. And the next time, you feel yourself pulling back before you even start. Not because you have less to say but because you've practiced translating yourself for old rooms until it starts to feel like the process. Before you change what you're about to say — notice who you're changing it for. That's the checklist. The person you're editing around isn't in the room. They're in the edit itself. And the right people won’t need you to translate it. But so is the sentence you didn't fix. That one was always yours.

The document you read is never the one that was written first. V1 gets the information down. It's rough. Incomplete. Written in the language of someone who already knows the product. Not the person who needs to use it. V2 is where the structure changes. The steps don't match the actual user journey. That's not an edit. That's a rebuild. V3 is where the terminology gets resolved. Three different words for the same thing. All three used in the same doc. One of them has to win. V4 is where the gaps appear. Not in the writing. In the product. Steps that skip. Logic that assumes. That one goes back to the SME. V5 is where the tone settles. Precise enough to be accurate. Plain enough to be useful. Getting both right at the same time is harder than it looks. V6 is the final check. Every link. Every step. Every term. One more time. What ships is V7. Or V8. Or V12. The version count isn't the point. Knowing when it isn't ready yet is. I've been in my current job seven years. I've learned which procedures don't work, and what the workarounds are. But when I'm training a new hire, I have to give them the official procedure because if I teach them something different and they get in over their heads and crash a machine, it could come back on me. So when they encounter the exceptions, I have to come bail them out with a workaround. Once they've proven their competence, I'll casually mention, "Here's what I do in that situation, but you didn't hear it from me."

The most common mistake we see in procedure writing: Documenting how things should work, rather than how they actually work. It sounds obvious. But it happens constantly, especially when senior managers are the ones being interviewed, rather than the people doing the job day to day. The result is a procedure document that looks good on paper but gets ignored in practice, because staff know it doesn't reflect reality. Good procedure writing means talking to the people actually doing the work. It means being willing to capture the workarounds, the exceptions, and the "unofficial" steps that make things actually function. That's where the real value is.

The top of your homepage has about five seconds to create an emotional connection. The stuff you'd never say in a meeting. First few minutes — people are guarded. Then one person opens up. The room shifts. That's the mechanics of trust: one person becomes vulnerable, the other guarantees they won't use it against them. Something appears that money can't buy. The same applies to content. Posts with five insights and clean formatting — there's no one behind them. The person is hiding behind structure. Trust doesn't start with structure.
