Responsibilities

Reporting to the Director, Sourcing – Capital/Paper, the Purchasing Assistant performs duties involved in the Purchasing and accounts payable functions. Supports internal customer needs and liaisons and coordinates corporate initiatives related to the position for the site.

• Basware - Reconcile invoice issues with internal customer/suppliers
• Work with Corporate on received not invoiced errors (RNI)
• Site resource for new supplier set up and initiate APPIAN request
• Filing for all duties of this position
• Set up of employees into Basware to improve payment process
• Assist the Buyers – fax, expedite, copy, file, update, validate PO’s
• Input purchasing cost savings and do freight coding
• Analyze current year spend to project next year’s Blanket PO amounts. Send data to owners of service to enter requisitions
• Manage purchasing files to meet auditor expectations
• Expedite report follow up on late purchase orders with suppliers
• PO acknowledgement of pricing, quantity, description, and date
• Analyze price increase rates to determine if rate of change is within reason
• Receive all blanket PO related items based off packing slips.
• Process manual check requests, vehicle registrations, security gas cards
• Phone & email inquiries for all tasks
• Receive as per direction from requisitioner, goods and services
• Assist storeroom set-up/change vendors, item master, catalog item #’s
• Update catalogue pricing
• Request upcoming contractor rate change and update supplier catalogue
• Perform GMP audits
• Perform PPE signage audits
• Maintain or improve all relationships with current and new suppliers
• ISN Liaison, knowledge of ISN process is a must. Train those who are unfamiliar with functions of ISN. Communicate with security with contractor issues.
• Creatively find ways to generate cost savings or avoidance
• Assist with tax coding corrections.
• Other duties assigned by supervisor.
  
  

Qualifications

• Associate's degree with a focus on business / accounting or purchasing. An equivalent combination of education and experience will be considered.
• 1-5+ years of experience
