Position Overview
The Practice Manager & Patient Care Coordinator plays a pivotal role in overseeing daily operations while guiding patients through every step of their aesthetic journey—from initial inquiry to post-procedure care. This individual ensures seamless practice flow, supports clinical and administrative teams, and upholds the highest standards of service, discretion, and professionalism.
Key Responsibilities
Practice Management
- Oversee day-to-day operations of a busy aesthetic and surgical practice
- Lead, mentor, and support front office and clinical team members
- Optimize scheduling, workflow efficiency, and patient flow
- Maintain compliance with policies, procedures, and regulatory standards
- Collaborate with leadership on practice growth, patient experience, and operational improvements
Patient Care Coordination
- Serve as the primary point of contact for surgical and non-surgical patients
- Guide patients through consultations, treatment planning, scheduling, and follow-up care
- Provide detailed education on procedures, pricing, and expectations
- Build strong, trust-based relationships with patients through clear communication and empathy
- Coordinate pre-operative and post-operative care with clinical staff
Administrative & Business Support
- Manage provider schedules, consultations, and surgical bookings
- Oversee financial coordination including treatment plans, quotes, and payment processing
- Support marketing initiatives, events, and patient engagement efforts
- Ensure an elevated, luxury patient experience at every touchpoint
Qualifications
- 3–5+ years of experience in practice management, patient coordination, or a similar leadership role (aesthetic, plastic surgery, or medical specialty preferred)
- Exceptional interpersonal and communication skills
- Highly organized with strong attention to detail and ability to multitask
- Professional, polished demeanor with a passion for patient care
- Proven ability to lead a team and manage a fast-paced environment
- Experience with EMR systems, scheduling software, and patient management platforms
