Floater
Boutique entertainment law firm seeking a full-time Floater with a minimum of three years’ experience managing diverse clerical duties and a strong focus on client service. This role goes beyond traditional desk responsibilities, combining administrative tasks with an emphasis on delivering exceptional hospitality and proactive client support
Qualifications
• Associate degree in a relevant field preferred
• 3+ years of experience in an administrative role at an entertainment law firm, studio, or agency
• Experience using a multi-line office phone
• Proficiency with Microsoft Office applications and other office technology
• Able to sit for long periods of time
• Physical capacity to stand for extended periods and perform site maintenance duties
• Must possess excellent interpersonal skills to communicate with senior-level attorneys, diverse
clients and colleagues
• Exhibits a positive and friendly demeanor in all guest interactions
• Ability to learn quickly and adapt easily to changing circumstances
• Excellent attention to detail and organized
• Solid work history preferred
Assistant Coverage
• Calendar management - setting calls/meetings
• Rolling calls and keeping a diligent, organized phone sheet, and updating contacts as needed.
• Monitoring emails, with specific attention to responding quickly, professionally, and efficiently
• Sending agreements out to clients for signature/countersignature
• Tracking the status of agreements and payments when necessary.
• Coordinating start paperwork, often with the help of business managers’ offices
• Filing/document organization
• Processing client checks in a timely manner
• Interfacing with clients and responding to their needs, concerns, questions, etc.
• Training new hires as needed
• Managing mail
Receptionist/Hospitality Coverage
• Assisting visitors with check-in & check-out processes
• Providing company information and accommodating guests during their visit in an attentive,
courteous and friendly manner.
• Answering and routing incoming calls on a multi-line telephone system
• Maintaining common areas
• Maintaining and scheduling conference rooms and events
• Serving refreshments to guests
• Collecting, sorting, distributing, and preparing mail and courier deliveries
• Coordinating messenger requests• Ordering and stocking supplies
• Providing backup support as needed.
• Event coordination, including setup and breakdown
• Basic research assignments
• Training new hires as needed
• Shredding

Compensation: $24.04 - $38.46
