Send messages in Recruiter and Recruiter Lite

Last updated: 2 months ago

You can send messages to candidates in LinkedIn Recruiter and LinkedIn Recruiter Lite from:

  • Your search results
  • A project’s Talent pool or Pipeline page
  • A candidate’s profile

Here's a tip

If you don't have a LinkedIn Recruiter subscription today and would like to learn more, you can contact our Sales team for more information.

Important to know

You can’t send initial outreach messages to candidates directly from your Recruiter or Recruiter Lite Inbox.

To send a message to a candidate in Recruiter or Recruiter Lite:

  1. Click the Message icon on the right side of the candidate's profile card. From there, you'll see one of several indicators:

    • Free to InMail: If the candidate is a 1st-degree connection, has enabled an Open Profile, or is a job applicant, you'll see a "Free" indicator next to their name. This means sending the message won't cost you an InMail credit.
    • InMail credit required: If the candidate is a 2nd-degree or 3rd-degree connection, or an out-of-network member, you'll see an indicator next to their name showing that an InMail credit will be used. Keep in mind, if you're using Recruiter Lite, you can't send messages to candidates who are outside your network.
    • Send via email: If the candidate's email address is on their profile, a dropdown will appear at the top of the message window. If an email address is not already listed, you can manually add it while composing the message. The email address will automatically be saved to the recipient’s profile in Recruiter. Then, select Send via email to reach out by email.

    Here's a tip

Email Connect enables you to send emails to candidates directly from LinkedIn Recruiter using your regular email provider. It is currently available for Microsoft 365 (Outlook) and Google Workspace (Gmail). When activated, this feature allows you to email candidates either by using a visible email address on their profile or by adding one through Recruiter.

We are gradually introducing Email Connect, which may not be available to you at this time. This feature is not available for Recruiter Lite. See the Email syncing Recruiter user FAQ for more information.

In some cases, you may come across a profile where the option to send a message isn't available. That's because candidates can choose to opt out of receiving InMail messages in their personal settings.

  2. Optional: In the Search for a template field at the top of the Compose Message window, search for a template to use.

  3. Add a subject and compose your message in the required fields.

  4. Optional: Click the Edit icon next to your signature. Your signature can be a maximum of 150 characters.

  5. Optional: Click the Variables icon and select a variable that will populate in the subject line or message body when you send a message. Click Preview at the bottom of the message window to view how your personalized variables will populate in the message. You can select from the following variables:

    • {firstName}: The variable for the candidate’s first name
    • {lastName}: The variable for the candidate’s last name
    • {fullName}: The variable for the candidate’s full name
    • {projectJobTitle}: The variable for the project’s job title (job post specific)
    • {projectCompany}: The variable for the company name (job post specific)
    • {projectLocation}: The variable for the project location (job post specific)
    • {jobPostLink}: The variable for the job post link (job post specific)

Note: A candidate must be added to your project to use job post specific variables. If the candidate is in a project with a closed job, the variable {jobPostLink} won't be available.

  6. Optional: Click the Attachment icon to add up to 5 attachments. The total size of all your message attachments can't exceed 2MB. If you want to remove an attachment, click the Cancel icon next to the attachment to remove it before you send your message. You can attach the following file types:

    • CSV
    • XLS
    • XLSX
    • DOC
    • DOCX
    • PDF
    • TXT
    • RTF
  7. Optional: Click the Calendar icon to set up an availability link. This feature is available in Recruiter only.

  8. Optional: Click the Globe icon to set the visibility preference for your message. This feature is available in Recruiter only.

  9. Optional: Click the Send immediately via InMail dropdown at the top of the message to schedule the message to be sent at a specific time.

  10. Optional: Click the Follow-up icon at the bottom of the message and complete the required fields to send a scheduled follow-up message. By default, a follow-up message is sent 7 days after the initial message. Click the Settings icon to change the sending options.

    • Note: Follow-up messages are available in Recruiter only.
  11. Click Send.

Here's a tip

If you’ve sent a candidate an InMail message in Recruiter or Recruiter Lite and you want to edit or delete the message, you can do so from your inbox even if the message has been seen or if the candidate has replied.
