𝗛𝘂𝗺𝗮𝗻 𝘃𝘀 𝗔𝗜 𝗧𝗿���𝗻𝘀𝗹𝗮𝘁𝗶𝗼𝗻 At #CPG Documentation, LLC, we are constantly exploring new technologies to strengthen our workflow and deliver the highest-quality technical documentation to you. As GenAI evolves, clients have started to ask us whether it has an impact on our translation process. To answer that question, we asked our translators if, and how, they use AI today. And their answers showed us a clear pattern: AI can assist with certain research tasks, but it falls short in translation outputs, lacking the precision, understanding of context, and subject-matter expertise that human translators 𝘥𝘰 have. Most translators, if they use AI at all, only use it to speed up research, such as to clarify technical terminology or test alternative phrasings. But in these cases, AI has remained a supporting reference and not a reliable translation source. 𝗪𝗵𝗲𝗿𝗲 𝗔𝗜 𝗙𝗮𝗹𝗹𝘀 𝗦𝗵𝗼𝗿𝘁 When AI is used as the sole translator, it usually just creates more work than it saves. Human translators have to fix a plethora of issues created by AI: •            Incorrectly used, inconsistent, or invented terminology •            Using English punctuation instead of the target language’s •            Unnatural sentence flow •            Inconsistent or unnatural capitalization This is why human translators remain essential. AI has come far, but at the end of the day, a qualified human translator is still needed to ensure that translations are accurate, consistent, and culturally aligned. 𝗛𝗼𝘄 𝗣𝗼𝗼𝗿 𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁𝗮𝘁𝗶𝗼𝗻 𝗟𝗲𝗮𝗱𝘀 𝘁𝗼 𝗠𝗮𝗷𝗼𝗿 𝗦𝗮𝗳𝗲𝘁𝘆 𝗥𝗶𝘀𝗸𝘀 In many industries, documentation is an essential tool for far more than just instructions; it ensures the safety of users. When instructions are vague, incomplete, or overly technical, users fill gaps with assumptions. Assumptions in high-risk settings can lead to equipment damage, injuries, or regulatory violations. 𝗖𝗼𝗺𝗺𝗼𝗻 𝗘𝗿𝗿𝗼𝗿𝘀 𝗧𝗵𝗮𝘁 𝗖𝗿𝗲𝗮𝘁𝗲 𝗥𝗶𝘀𝗸   1. 𝚄̲𝚗̲𝚌̲𝚕̲𝚎̲𝚊̲𝚛̲ ̲𝚘̲𝚛̲ ̲𝙸̲𝚗̲𝚌̲𝚘̲𝚖̲𝚙̲𝚕̲𝚎̲𝚝̲𝚎̲ ̲𝚂̲𝚝̲𝚎̲𝚙̲𝚜̲:̲ Instructions like “secure the unit before use” can be extremely vague. Secure how? With what tool? To what surface? More detail is needed to make sure that this unit is safely secured.   2. 𝙼̲𝚒̲𝚜̲𝚜̲𝚒̲𝚗̲𝚐̲ ̲𝙸̲𝚗̲𝚏̲𝚘̲𝚛̲𝚖̲𝚊̲𝚝̲𝚒̲𝚘̲𝚗̲ ̲𝚏̲𝚘̲𝚛̲ ̲𝙽̲𝚎̲𝚎̲𝚍̲𝚎̲𝚍̲ ̲𝙿̲𝚛̲𝚎̲𝚛̲𝚎̲𝚚̲𝚞̲𝚒̲𝚜̲𝚒̲𝚝̲𝚎̲𝚜̲:̲ If a technician doesn’t know they need safety equipment before opening a panel, or if that pressure must be released before maintenance, risk increases instantly. Many safety incidents trace back to missing warnings, not just user error.   3. 𝙸̲𝚗̲𝚌̲𝚘̲𝚗̲𝚜̲𝚒̲𝚜̲𝚝̲𝚎̲𝚗̲𝚝̲ ̲𝚃̲𝚎̲𝚛̲𝚖̲𝚒̲𝚗̲𝚘̲𝚕̲𝚘̲𝚐̲𝚢̲:̲ When one section refers to a tool or part with one term, and then changes on a later page, users may assume they’re different parts and inaccurately carry out procedures. 𝗛𝗼𝘄 𝘁𝗼 𝗣𝗿𝗲𝘃𝗲𝗻𝘁 𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁𝗮𝘁𝗶𝗼𝗻-𝗥𝗲𝗹𝗮𝘁𝗲𝗱 𝗦𝗮𝗳𝗲𝘁𝘆 𝗥𝗶𝘀𝗸𝘀:   1. 𝚄̲𝚜̲𝚎̲ ̲𝚌̲𝚕̲𝚎̲𝚊̲𝚛̲,̲ ̲𝚜̲𝚒̲𝚖̲𝚙̲𝚕̲𝚎̲,̲ ̲𝚊̲𝚗̲𝚍̲ ̲𝚊̲𝚌̲𝚝̲𝚒̲𝚟̲𝚎̲ ̲𝚟̲𝚘̲𝚒̲𝚌̲𝚎̲ ̲𝚒̲𝚗̲𝚜̲𝚝̲𝚛̲𝚞̲𝚌̲𝚝̲𝚒̲𝚘̲𝚗̲𝚜̲:̲ Write steps that cannot be misinterpreted.   2. 𝙿̲𝚕̲𝚊̲𝚌̲𝚎̲ ̲𝚠̲𝚊̲𝚛̲𝚗̲𝚒̲𝚗̲𝚐̲𝚜̲ ̲𝚏̲𝚘̲𝚛̲ ̲𝚍̲𝚊̲𝚗̲𝚐̲𝚎̲𝚛̲ ̲𝚛̲𝚒̲𝚜̲𝚔̲𝚜̲ ̲𝚒̲𝚗̲ ̲𝚟̲𝚒̲𝚜̲𝚒̲𝚋̲𝚕̲𝚎̲ ̲𝚊̲𝚗̲𝚍̲ ̲𝚛̲𝚎̲𝚕̲𝚎̲𝚟̲𝚊̲𝚗̲𝚝̲ ̲𝚜̲𝚙̲𝚘̲𝚝̲𝚜̲:̲ Safety notices buried in introductions or appendices are often missed. Position them at the exact point of risk, and make it clear what type of danger is posed.   3. 𝗛𝗼𝘄 𝘁𝗼 𝗪𝗿𝗶𝘁𝗲 𝗦𝗼𝘂𝗿𝗰𝗲 𝗗𝗼𝗰𝘂𝗺𝗲𝗻𝘁𝘀 𝗧𝗵𝗮𝘁 𝗮𝗿𝗲 𝗘𝗮𝘀𝘆 𝘁𝗼 𝗧𝗿𝗮𝗻𝘀𝗹𝗮𝘁𝗲 When you plan to have your documents translated into multiple languages, how clear and structured your original source text is can make or break the quality of your translations. Writing with later translations in mind can save you time, reduce costs, and make sure that your message remains accurate in every language. Here are some ways you can make your content more translation-friendly. 𝗞𝗲𝗲𝗽 𝗦𝗲𝗻𝘁𝗲𝗻𝗰𝗲𝘀 𝗖𝗹𝗲𝗮𝗿 𝗮𝗻𝗱 𝗖𝗼𝗻𝗰𝗶𝘀𝗲. Long, complex sentences are difficult to translate accurately. Aim for one main idea per sentence and avoid compound sentences; shorter sentences help translators maintain meaning and tone while minimizing ambiguity. 𝗨𝘀𝗲 𝗖𝗼𝗻𝘀𝗶𝘀𝘁𝗲𝗻𝘁 𝗧𝗲𝗿𝗺𝗶𝗻𝗼𝗹𝗼𝗴𝘆. Inconsistent terminology leads to inconsistent translations. It’s useful to maintain a terminology list or glossary for key terms, which ensures translators (and your readers) always understand exactly what you mean. Especially keep this in mind with tools or machine components, which can cause massive confusion and errors if the terminology for these parts changes throughout the document. 𝗔𝘃𝗼𝗶𝗱 𝗦𝗹𝗮𝗻𝗴 𝗮𝗻𝗱 𝗜𝗱𝗶𝗼𝗺𝘀. Common expressions that might make complete sense in English, like being “on the same page,” rarely translate well into other languages. Stick to plain language that focuses on the technical or procedural meaning and avoid these expressions. As of this past June, the law has gone into full effect, meaning that French must take priority in every aspect of documentation. But within this spooky season, there are some lessons to be found. The monsters gracing our screens and streets around Halloween have a lot more in common with the monsters of technical documentation than you may think. 𝗙𝗿𝗮𝗻𝗸𝗲𝗻𝘀𝘁𝗲𝗶𝗻’𝘀 𝗠𝗼𝗻𝘀𝘁𝗲𝗿: 𝗧𝗵𝗲 𝗦𝘁𝗶𝘁𝗰𝗵𝗲𝗱-𝗧𝗼𝗴𝗲𝘁𝗵𝗲𝗿 𝗠𝗮𝗻𝘂𝗮𝗹 While it might be built of beautiful parts, they’re mismatched and written by different contributors, giving the manual a bit of an uncanny valley feeling when stitched together. Every section is technically there, but the reader leaves hungry for examples, visuals, or deeper explanations. 𝙻̲𝚎̲𝚜̲𝚜̲𝚘̲𝚗̲: Add context and detail. Good documentation has layers like examples and visuals that bring it to life. 𝗧𝗵𝗲 𝗚𝗿𝗶𝗺 𝗥𝗲𝗮𝗽𝗲𝗿: 𝗬𝗼𝘂𝗿 𝗗𝗲𝗮𝗱𝗹𝗶𝗻𝗲𝘀 They’re always closer than you think. You can’t outrun them, but you can be ready when they arrive. 𝙻̲𝚎̲𝚜̲𝚜̲𝚘̲𝚗̲: Build realistic schedules, factor in translation times, and prioritize what you need the fastest. Your technical documentation may not actually be haunted, but every tech pubs and marketing team has seen a few of these monsters in the wild. CAT tools like these aid in providing more efficient #TranslationServices and Localization. SDLX works by dividing sentences and fragments into segments. It then stores the segments together with the source language, which is compiled into a database called a Translation Memory (TM). A translator is able to check this database at any time to source a translation. Saved segments can be reused for future translation projects, which saves both time and cost as the same content doesn’t need to be re-translated. This program also creates consistent sentence fragments within translated documents.
