The first thing to say is ‘something always goes wrong!’ Working in live events is a rollercoaster with a lot of moving parts, often setup temporarily and under a time restraint. As everyone else has said, you can’t under estimate the importance of a backup where possible. Add contingency and failure scenarios to your rehearsals, discuss fail overs with the crew and talk through what you will do in the case of a failure. Also, do you know the worst place to be when it all goes wrong…on stage! As part of your briefing with presenters, stand them on the stage and let them know where you will be to help them! But most of the time, nobody will know! That’s the magic of event professionals! But it’s not magic, it’s hard work and experience!

Technology can and does fail as it goes in and out permanently. When it happens keep calm and focussed, check your options and make a decision that leads to the best assumed outcome. This chain of action happens often quicker then writing that sentence above. ⬆️ Event professionals have a prevention plan and protocols to mitigate the risk of a show stop. Mission critical equipment and resources have a backup. Speakers should be briefed with the most common „what, if“ scenarios. As calmer they react on stage as calmer the audience and really everyone can deal with it. If you have a great team, maintained equipment and reasonable time for planning, setup and rehearsal, the risk of significant technical failures is considerably low.

Quick adaptability is key! Conducting technical rehearsals helps anticipate issues, while on-site support ensures immediate fixes. Having a solid Plan B—like backup presentations, extra microphones, or hotspot connectivity—keeps things running smoothly. If a system fails, engaging the audience and turning glitches into interactive moments helps maintain the event’s flow.

Handle technical glitches by having a robust contingency plan, quick-response troubleshooting, and clear communication with attendees.

I always keep a solid backup plan on deck—extra gear, pre-recorded content, and a crew that knows how to move when things go left. The key is staying cool and keeping communication tight, both with the team and the crowd. No need to panic—just pivot and keep the energy flowing.
