How can you design a time management system for client projects?

I start by setting clear goals, tasks, and deadlines with the clients. Then, I break down tasks into smaller parts and use project management tools to track progress. I make sure to communicate regularly with both my team and the clients to ensure we're staying on track and address any issues promptly. Finally, I evaluate our system based on feedback and performance to make improvements for better efficiency.

Two steps are required here: - asessing your workload: this is an iterative process as you need learn as you go. Never underestimate a task. For instance, a meeting also includes prep and follow-up.. - prioritisation: the Eisenhower matrix is helpful when deciding to delegate. I also use Must do / Should do / Could do. However, it only works when you know the bigger priorities and milestones. They act as guiding principles.

Assess your workload and divide the tasks into the following categories: 1. important and urgent 2. important and not urgent 3. not important and not urgent From there, determine your most important tasks and temporarily put aside the less important or relevant ones to the side.

There's 1 prerequisite to efficient use of the Eisenhower matrix. YOUR GOAL. It's only thing that can help you decide. Here're the questions I ask to help me decide: Urgent & Important = DO What's my 1 must do today? What if I didn't do it today? Not urgent & important = Schedule When do I need the result? When do I have time to focus on it? Urgent & Not important = Delegate Who can learn from it? Who can do it faster and better? Not urgent & Not important = Delete Will anyone notice if it's not done? Does it impact my goal?

The answer to this question largely varies from one organization to the other and also on the size of the team. To be more precise , for a small team Google sheets, whatsapp groups and even team meetings can help achieve the needed but when the team is large and the quantum of work is diversified then it should be dedicated to some specific task apps like Asana, fellow and many more along with sub categorization to meetings and agenda sheets.

Parkison's Law = work extends to the time we allocate to it. Default time blocks in your calendar are traps. Not everything requires 30 or 60min. Always have a healthy dosage of pressure on yourself to elevate your productive and free up time. 1. Consider blocks of 10-15min for short calls/meetings 2. Consider bundling tasks that require 5min or less in one block of 30min

The key here is to look at your work end to end, understanding the time you need to prepare, run and follow-up. This tends to be overlooked. Then, for certain tasks throughout the day, only allocate a certain amount of time so that time does not expand. This is great as a way to refine your estimations over time.

I recommend taking time to concentrate twice a day. For example, 9-10:30 in the morning and in the afternoon for another 2-2.5 hours. All you want to do is complete as many tasks as possible during these periods.

Once you clearly know what tasks you need to handle within the scope of each project you need to determine how much time each will take. Do NOT conservatively estimate this but add a good 1/2 hour to 1hr even depending on the complexity and who might be involved. You never know what things might pop up, who might call in sick, or what other roadblock may present itself causing a delay in production. Once you estimate your time, then protect it with everything you have by setting up systems that are meant to keep you focused.

It is a simple question that could give you insights into what drives the most results for them and you, and how to focus your time. Similarly, set up expectations in terms of ways of working, communications and stakeholder management with them from the start. Do they require regular touch points or are they more hands off?

After completing the project, conduct a review to analyze what worked well and what could be improved in the time management process. Use this feedback to refine future project plans.
