How can you prioritize tasks when overwhelmed with work?

Um método de trabalho que gosto muito de usar em situações como essa é o Kanban. Primeiro, use técnicas como gestão visual( um bom e velho quadro kanban já ajuda), coloque todas as tarefas que você já iniciou e as que estão aguardando slot. Após isso, organize as colunas do seu quadro(apenas um exemplo...para fazer, priorizado, fazendo, feito), isso ajuda a tirar carga cognitiva da sua mente, pois você vai transferir tudo para um lugar seguro, que é o seu quadro. Movimente para a coluna fazendo todos os itens que você já iniciou e analise se o que você está fazendo realmente é o mais importante, se não for, volte para a coluna anterior e faça o exercício de pare de começar e comece a terminar.

Utilize time management techniques such as working in focused intervals (e.g., 25 minutes) followed by short breaks. This helps maintain productivity and prevents burnout. Prioritize tasks using the ABC method. Label tasks as A (high priority), B (medium priority), or C (low priority). Focus on completing A tasks before moving on to B or C tasks. Learn to say no to additional tasks that are not aligned with your priorities or are beyond your current capacity. It's important to set realistic boundaries to avoid overcommitting.

List all of your tasks in a visual manner (sticky notes, whiteboard, notebook, etc.). Then start reorganizing them in whatever manner makes the most sense for your job duty. This could be time-based, difficulty-based, or something else. After reorganizing, look over the list again and make small changes if needed. This is an easy way to reset and figure out which tasks need to be completed first when you're feeling overwhelmed.

Task delegation, prioritization, focusing on urgent matters, time management with task lists, reminders, the Pomodoro technique, software. However, personally, in these cases, I give myself enough time to think. It could be ten minutes or a day, depending on the urgency and sensitivity of the items. Then, I invite a few colleagues who have experience and can handle pressure, and I ask each of them to manage a portion of the urgent matters autonomously. I regularly hold brief meetings to follow up on progress and address any issues in the designated place.

If you find yourself overwhelmed by work and do not see any way out seek help from your manager and/or colleagues. Unless you work alone you will have others that can help you prioritise work, decide what is important and must be delivered, and importantly decide what can be dropped or assigned to someone else. If you don’t have anyone to help you then use the divide and conquer method: group common tasks together and set aside time to dedicate your attention to the most important tasks. Make a list with buckets of work based on common denominators, classifying them by priority: important and urgent, important and not urgent, not important not urgent. Then map out a schedule to get buckets completed.
