How can you create a sense of urgency and excitement during a facilitated discussion?

I don't try to create urgency. I think there is plenty urgency baked into our work cultures and it is often counterproductive. I aim for a more relaxed and open atmosphere. I do this by being clear about what part of the discussion we are in and lowering the stakes, where appropriate. If we are brainstorming, I emphasize trying to get as many ideas as possible, that there are no right or wrong answers, and challenge people to make divergent offerings. I think excitement comes when people feel like they can offer their honest opinions and the best representations of their thinking, and they are valued for that. Providing structures for affirmation from peers can help people feel valued and this kind of authentic work culture is exciting.

In addition to setting a clear goal, it's vital to consider the participants' perspectives. Understand the team's diverse viewpoints, and encourage open communication. Foster an environment where team members feel heard, fostering collaboration. Acknowledge potential challenges and be prepared to adapt the discussion based on real-time insights. Infuse positivity and motivation to inspire active participation. Emphasize the value each team member brings, creating a sense of collective ownership. Lastly, ensure there's a follow-up plan, translating discussions into actionable steps, reinforcing the team's commitment to the shared goal.

As with any discussion, urgency isn't the main goal but relatability is. People only engage with what is relevant to them. If I was teaching you to cook and you already were handy in the kitchen why would you want to hear me drone on about the techniques of cooking? However, if I talk about how food makes us feel, a sense of community coming together for a meal, time with family and relate it to emotions, then they will be more willing to engage.in the technical parts. I can still teach them about techniques, but now they know why they need to learn them. It becomes about the emotion of cooking and less about the boring bits. They will want to learn and apply techniques quickly hence, built in urgency is achieved, but the right way.

Urgency and excitement would not be my aim during facilitation. The aim would be to build a safe environment with the participants so they feel they can share honestly. I find that this connection strengthens the quality of discussion and outcome.

However, do practice a degree of adaptability by allowing room for emergent ideas or viewpoints to take place instead of trying to be overly focused contracted outcomes.

The art of rhetoric has been sadly lost. But it is powerful. The way the facilitator communicates is crucial. How they use their voice and their language to up the tempo and cause excitement cannot be overlooked. One simple rhetorical technique that causes excitement is to repeat the same thing three times in three different ways. For example “this idea is outstanding. It’s sensational. It’s totally mind blowing.” Done correctly this technique builds waves of excitement that crash across an audience.

Urgency can be seen as a way to get participants to respond to a call to action. However, I have found it more helpful to create relevancy of what is being shared and the topic at hand, rather than urgency. This allows the participants to create their own level of importance of what is valuable to them in real time. As a facilitator, using on the spot disclosures from participants to connect it to the topic or present a group theme directly, which is being shared indirectly let's them know that I am listening and what they are sharing has value. This usually creates excitement and connection not only to the topic but also to one another.

Stories have a unique ability to capture attention and evoke emotions, and telling a story about a personal experience or a relevant and relatable real-life example can be a light-touch way to instill a sense of urgency without being heavy-handed. A good story can also create a shared language between the facilitator and participants, creating a more trusting and collaborative environment.

When we are using games, puzzles and quiz it is good to have some scoring system that will help them to have a competitive environment and also pay attention during the session.

I agree that challenging the team to think creatively & constructively about the issue is key.This may sound like a contradiction in terms but in order to do this the challenge must be centred on the people rather than the problem. Here’s why: Everyone in the room may be anxious to solve the problem at hand&that anxiety will be creating some ‘internal urgency’ but unless you unpack what it is about the problem that is making each team member anxious your strategy or solution may be ineffective. I would ask the team members 2 questions: 1. What is it about this problem that keeps you awake at night? 2. Fast forward 3 weeks from now, what change would you want to see? The result: each person feels heard & we now have a 3 week deadline

I have found that creating micro tasks and setting them an unrealistic timeframe to complete them sparks urgency. The participants are fully aware that there won’t be enough time, but if you push gently then you will get instant results which can then be adapted from a great springboard idea.

Yes, as Brittni Bowering would say, you need to end a session on a high-note, looking back to what have been achieved during the session. To make sure that every good intention are not ending there, plan a retrospective to make them reflect on what happened after the discussion, what can be continued, what should be stopped, what new information should be taken into consideration. Retrospectives are te best follow-up you can do.

It's important to focus on key moments to build excitement and urgency including the opening and closing of your session. The opening is an opportunity to feel included, connected, curious, and excited. You can do this by playing music at the start of your session, and start straight away with an interactive activity. The closing helps to bookend the whole experience and is an opportunity to end on an emotional high. Closing your session with prompt "one insight you gained" or "one word how you are feeling at the end of the session" can capture the energy and excitement of the group.

I think for me it's worthwhile setting the tone and the importance of the session and how it's crucial to work together and come with some actionable goals. Don't try and do much. Get people involved in active learning and partication. Have small groups getting to discuss the same questions and then ask them to prioritise one thing amd a further exercise would be about the HOW. How are we gonna do this. Reiterate at the end the points and what has been identified and create a working group immediately with a follow up. Thank everyone for the effort amd contribution and set up the follow up meeting. Be enthused, be excited about what you are going to achieve together.

I would consider announcing a fictitious emergency that needs to be tackled by the organization and assess how does the team's facilitator cope with it.
