'Clear communication is the key to success.' I would first set up a detailed meeting to outline my expectations clearly. I would provide comprehensive documentation, including project goals, timelines, and deliverables. Regular check-ins & progress updates would ensure alignment throughout the process. I would foster open dialogue, allowing the vendor to ask questions & voice concerns. I would ensure all conversations are documented in detail. This incl. meeting minutes, email summaries, & recorded action items. I would create a shared project document where both parties can track progress, updates, & any changes to the project scope. By fostering a collaborative atmosphere, I can better ensure they grasp & deliver what I actually want.

When misalignment and missed expectations are happening it can be beneficial to have an in person or zoom call with their leaders to discuss what has caused the misunderstanding. In my experiences, it can be very beneficial to listen to their explanation of what they were trying to accomplish and why they think there was a disconnect first to create open dialogue and trust. Solely venting at them about their mistakes and then repeating your priorities and needs may not address the actual reason for the disconnect (i.e. not using the same terminology or reference points to create common understanding). Go with direct in person and virtual meeting interactions vs email and texts to provide guidance, build relationships and trust.
