For the past year, we have been building productivity tools that run natively inside Gmail and Google Workspace. 📊 Kanban Tasks for project management. 💼 Sales CRM for contacts, deals, and pipelines. Our goal has always been to develop tools that live where work already happens, enhancing focus, optimizing resources, and streamlining processes. With the surge of AI, these processes changed completely. Teams started using it to help with their work: get summaries, suggestions, and drafts. However, the moment the conversation ended, someone still had to open the CRM, find the right contact, update the pipeline stage, create the follow-up task, and log the note. In other wrods, AI coul help us think, but it could not help them execute. Tooling Studio MCP has arrived to change that. Most teams already have a CRM and some way to manage tasks. The harder part is keeping both up to date while work is actually happening. A lot of the real activity sits in Gmail. Conversations move forward there, decisions get made, and follow-ups come up in the moment. Updating the CRM or creating tasks often happens later, which means it either gets delayed or skipped. We’ve been working on a setup inside Google Workspace where CRM and tasks stay closer to that flow, and AI helps handle the small updates as they come up. When something needs to be followed up, you can describe it in plain language and it gets reflected in your tasks and CRM in the right place. Contacts, notes, and next steps stay connected without needing to move between different views. What this changes in practice is fairly simple. Teams spend less time catching up on updates, and more of the context stays where it belongs. Over time, that makes the system easier to trust because it reflects what is actually going on. We’ve started connecting Kanban Tasks and CRM more closely. You can now link tasks directly to contacts or organizations, and even create or link contacts from inside a task, without leaving the board. You can also create tasks directly from contacts and organizations, so work and relationships stay connected from the start. It works both ways: - From a task, jump to the related contact - From a contact, view and open linked tasks This becomes especially useful when work and relationships overlap. A follow-up or conversation often belongs together, but usually ends up scattered across tools. Over time, that context gets lost. 𝗪𝗲’𝘃𝗲 𝗺𝗮𝗱𝗲 𝘁𝗵𝗲 𝗧𝗼𝗼𝗹𝗶𝗻𝗴 𝗦𝘁𝘂𝗱𝗶𝗼 𝘄𝗲𝗯 𝗮𝗽𝗽 𝗺𝘂𝗰𝗵 𝗺𝗼𝗿𝗲 𝘂𝘀𝗮𝗯𝗹𝗲 𝗼𝗻 𝗽𝗵𝗼𝗻𝗲𝘀. Until recently, the experience was best on a laptop or desktop. On smaller screens, scrolling through tasks, switching tabs, or navigating boards didn’t feel as smooth as it should. The app is now mobile responsive, so you can open it on your phone and comfortably work with #tasks, #CRM views, boards, and tabs within the screen. Navigation between #Kanban Tasks and Sales CRM is noticeably smoother, and buttons and controls behave more predictably on smaller displays. It’s still a work in progress. We’re continuing to refine visual details and interactions, but the difference is already clear: checking tasks, reviewing updates, or moving between boards from your phone is now much more practical. For many teams, the “quick check on your phone” moment is part of the daily workflow. It felt important that Tooling Studio supports that.
